The National Building Museum educates, entertains, and engages people about the built environment and challenges them to advocate for a sustainable and equitable future.Position SummaryThe Exhibition Coordinator is a vital member of the Exhibitions team, working under the guidance of the Director of Exhibitions Development. This role is responsible for ensuring the smooth execution of exhibitions by coordinating with internal teams and external partners to align each project with the museum's mission and standards. The coordinator will assist with budget management, scheduling, occasional project management, and interdepartmental communication.The ideal candidate will be detail-oriented and results-driven, with a proven track record in managing multiple, complex projects. They will demonstrate exceptional judgment, meticulous attention to detail, adaptability in a dynamic environment, and sound decision-making skills. This role requires effective collaboration with both internal staff and external vendors to support the institution's programmatic goals.Essential Duties and Responsibilities1. Department Administration
  • Maintain accurate and organized electronic records for all exhibitions.
  • Process invoices and credit card expenditures submitted by departmental staff or contractors, ensuring adherence to contract schedules.
  • Monitor and report on project expenditures, ensuring alignment with budget targets.
  • Execute and track contracts.
  • Support general departmental organization, including equipment and technology maintenance.
  • Assist with the planning and execution of exhibition-related programming and events.
2. Project Management and Installation
  • Coordinate with other departments to ensure effective communication and fulfillment of project needs.
  • Assist in preparing presentation materials, such as decks and one-pagers, for internal and external stakeholders.
  • Provide internal updates on exhibition progress and financial status.
  • Organize meetings, distribute agendas, and track deliverables.
  • Manage and update project schedules and timelines, monitoring progress towards key milestones.
  • Support exhibition logistics, including sourcing materials, managing orders, and overseeing deliveries.
  • Assist with exhibition installation and maintenance tasks, including hanging graphics and light construction as needed.
3. Research and Communications
  • Respond to external research requests and exhibition proposals.
  • Assist with obtaining copyright permissions and other content research, as necessary.
  • Has the ability to speak to the public about current and future exhibitions, giving high-level tours, if needed.
Qualifications
  • Bachelors degree required. Masters degree in Art History, Architecture, Museum Studies, or a closely related field preferred.
  • At least three (3) years of verifiable exhibitions coordination with progressively responsible duties and experience within museums or other art, design, or cultural organizations is required.
  • Understanding of processes related to exhibition production and installation a plus.
  • Knowledge of the roles played by educators, developers, designers, programmers, curators, and marketers is a plus.
  • Attention to detail, flexibility, and ability to prioritize tasks; proficiency in Microsoft Excel and Adobe Suite preferred.
