Department Overview
The mission of Information & Records Governance is to drive the reliability, availability, and compliance of PG&E's records and information assets by providing transparent governance, consultation, and practical tools. Specifically, the Electronic Content & Disposition (ECD) team leads cross-functional projects related to PG&E's electronic content repositories that support the mission.
Position Summary
The Business System Specialist (BSS), Expert will specialize in examining and evaluating structured and unstructured systems and procedures for disposition of data, information, and records. The BSS will use knowledge of records management and governance documents to execute tasks in partnership with the Disposition Program Manager.
The BSS will liaise with functional areas in partnership with the IT Enterprise Content Services team for business system requirements gathering, systems implementations, and general support. The incumbent will define user system requirements, provide user support, coordinate user acceptance testing of new tools, and consult with the users on new technologies & features that may contribute to business process efficiencies. The incumbent may also perform feasibility analysis, develop project scope, and provide recommendations on alternative solutions, project strategy, and deliverable prioritization. The ideal candidate will have proven experience in a non-IT organization.
This position is hybrid, working from your remote office and your assigned work location based on business need.
PG&E is providing the salary range that the company in good faith believes it might pay for this position at the time of the job posting. This compensation range is specific to the locality of the job. The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity.
A reasonable salary range is:
Bay Area Minimum: $118,000Bay Area Maximum: $188,000&/ORCalifornia Minimum: $112,000California Maximum: $179,000
Job Responsibilities
Specific responsibilities include, but are not limited to:
• Liaise with departments to manage the disposition, archive, and transfer of inactive data, information, and records.• Manage disposition projects, including identifying eligible inactive data, information, and records according to the retention schedule.• Ensure proper records destruction processes are followed.• Guide coworkers on the information lifecycle, including record creation, maintenance, and storage.• Develop project plans, schedules, estimates, dashboards, and reporting.• Develop and update information and records management standards and procedures.• Understand business needs and gather requirements to provide effective solutions.• Participate in User Acceptance Testing (UAT) and conduct quality reviews.• Develop business cases for programs and projects.• Assist with training and communications for system implementations of disposition functionality.• Stay informed about technology trends, internal and external, and regulations affecting records management policies.• Anticipate concerns and communicate proactively.
Qualifications
Minimum• BA/BS in Business, Engineering, Computer Science/Information Systems, etc. or equivalent work experience. • 7 years of job related experience in Business, IT or Engineering fields.• Participation in projects of high complexity at an expert level or in a leadership role.
Desired• Master's degree in Business, Finance, Economics, Accounting, Public Policy, Library and Information Systems, Information Technology, Legal Studies, or related discipline; or equivalent experience.• 8+ years of job related experience in Business Analysis, which may include or be in addition to 6+ years of experience in Information Technology.• 3 years experience in SharePoint as a Site Collection Administrator or other Sharepoint Administrator/Designer experience.• IIBA Business Analysis professional certification.• CRM, IGP, or related information governance certification.• Knowledge of relevant information and records governance industry guidelines (ARMA, AIIM, IAPP, etc.).• Principles, practices, and procedures used in management information systems, with an emphasis on data lineage.• Working knowledge of Documentum.• Working knowledge of Records and Information Management.• Experience with large-scale design, development, and implementation of enterprise records and information management projects, particularly those involving disposition.• Experienced in requirements gathering, process flow documentation, and business process mapping.• Lean and change management experience.• Ability to work independently, handling multiple priorities and meeting established timeframes.• Excellent verbal and written communication, interpersonal, and influence skills with coworkers and various levels of leadership.
