ABOUT THE POSITION

Position Summary

We are seeking a proactive and detail-oriented Special Projects and Facilities Coordinator to support key initiatives and ensure seamless operations across the firm. This role combines project coordination, training support, and facilities management to maintain a productive, innovative, and well-functioning work environment.

Key Responsibilities

Special Project Support

  • Coordinate and execute firm-wide projects, ensuring alignment with organizational goals.
  • Manage project timelines, milestones, and deliverables to ensure successful outcomes.
  • Collaborate with cross-functional teams to drive projects forward and maintain clear communication.

Needs Assessment, Curriculum Design, and Training Event Hosting

  • Organize and execute Training Tuesdays and other advanced training sessions, including logistics, scheduling, and coordinating meals and snacks.
  • Liaise with external vendors to supplement training efforts and host events at the firm's premises.
  • Conduct needs assessments to identify skill gaps and design tailored curriculum programs, keeping the workforce competitive and proficient in essential skills.

Facilities and Property Management Coordination

  • Serve as the primary liaison between the firm and the outsourced property management company to ensure smooth communication and task execution.
  • Track and follow up on property management requests, maintenance schedules, and service quality to address facility-related issues promptly.
  • Handle the ticketing and issue resolution process, ensuring all facility-related concerns are logged, tracked, and resolved in a timely manner with the property management team.
  • Monitor and follow up on maintenance requests, ensuring that all tasks are completed to satisfaction and in compliance with service agreements.
  • Maintain a productive work environment by overseeing the execution of maintenance and service needs.

Annual Calendar of Building Maintenance

  • Develop, maintain, and manage the firm's annual calendar of building maintenance tasks to ensure proactive planning and completion.

Vendor Management of Property Manager

  • Act as the primary point of contact for all property-related issues, serving as the liaison between the firm and the property management company.
  • Ensure clear and efficient communication with property management to maintain the quality and functionality of the firm's building and facilities.
  • Score and evaluate the vendor's performance based on key metrics (e.g., response time, service quality, issue resolution, and overall satisfaction). Use this feedback to provide actionable insights and guide decisions regarding continued vendor relationships.

Qualifications:

  • Education: High school diploma or equivalent required; a bachelor's degree in Business Administration, Project Management, or a related field is preferred.
  • Experience: 2+ years of experience in project coordination, training program support, or facilities management.
  • Skills:
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software, including Microsoft Office Suite.
  • Ability to manage multiple priorities and deadlines effectively.

Competencies: Problem-solving, attention to detail, and the ability to work both independently and collaboratively.
