Position SummaryThe Facilities Assistant reports directly to the Associate Dean of Facilities Design, Construction, and Management. The Facilities Assistant coordinates efforts for facilities related issues and initiatives for smooth operations within the School, playing a significant role in the daily operations of the school. These tasks would involve interaction with a number of other University Departments, vendors associated with the University, as well as Faculty, Staff, and Students. The Assistant will provide administrative support to the Associate Dean.
Job DescriptionPrimary Duties & Responsibilities: - The first point of contact to handle facilities related issues for the school. Initiate Work Orders to various departments/divisions within the University while providing excellent customer service and resolution to minimize the issues that require the Associate Dean's attention. These departments include, but are not limited to, Maintenance, Lock Shop, Housekeeping, delivery personnel, Information Services & Technology, Card Access, and others.
- Provides administrative support to the Associate Dean.
- Coordinates, organizes and maintains the Director's calendar, ensuring efficient and effective use of time.
- Responsible for scheduling appointments, meetings, conference rooms, and Zoom links for managers and other team members.
- Prepare agendas, attend meetings, take notes, and prepare and distribute meeting minutes as requested.
- Researches, gathers data, writes and prepares reports, communications, presentations, letters, memos, and emails for the Director as needed.
- Initiates, edits, and/or prepares drafts of letters, memos, and other correspondence in advance.
- Responsible for project-based tasks as assigned.
- Manage Furniture Inventory so that furniture requests within the School can be handled efficiently.
- Oversee storage of surplus furniture so that pieces are easily accessible.
- Work with movers contracted by the School for tasks associated with either offices or labs.
- Handle deliveries at the Brauer Hall Dock. These are deliveries destined for the Research Laboratories.
- Maintain database of keys and access codes to rooms throughout the School.
- Manage the procurement and distribution of keys.
- Handling of warranty issues on School purchases.
- Serve as a resource to the departments within the School for the efficient procurement of goods and services.
- Serve as an Emergency Preparedness Coordinator and serve on the McKelvey Emergency Preparedness Committee.
- Serve as school lead for annual Space Management survey.
- Ongoing review of the presentation of the school's cleanliness and appearance; condition of furniture, walls, floors, etc.
- Work with other individuals/departments within the School when interaction with Facilities related issues are needed. These might include, but are not limited to, Special Events and Planning, Lab Safety, Departmental Administrators, etc.
- Other duties and tasks as assigned.
WORKING CONDITIONS / EQUIPMENT: Position, at times, will necessitate travel between Engineering's eight buildings on the Danforth Campus to check on various vendors, technicians, and deliveries.The above statements are intended to describe the general nature and level of work performed by people assigned to this classification.
