Overview
Under the direction of the Deputy Director of Operations and Administration, the Facilitates Coordinator is responsible for managing the contracting, care, and oversight of assets controlled by the Real Estate Division of the Planning Department.
The Real Estate Division within the Planning Department manages a portfolio of over 13 million square feet of land across Boston neighborhoods. The properties include the Charlestown Navy Yard, Long Wharf, Downtown Waterfront, and the Raymond L. Flynn Marine Park, as well as significant neighborhood-based redevelopments. The Real Estate portfolio also includes two buildings managed by the Planning Department, 12 Channel Street in the Raymond L. Flynn Marine Park and the China Trade Center in Chinatown. The Operations and Administration team is responsible for the maintenance and oversight associated with all property assets under the Planning Department's care and custody.
The Facilities Coordinator will be expected to coordinate public bidding of services, manage safety programs, and oversee the maintenance and repair of office space, equipment, and telecommunications systems within the Raymond L. Flynn Marine Park and other BRA/EDIC owned properties.
Responsibilities

Operations:
* Assist in overseeing and inspecting the work of contractors, vendors, and trade workers.
* Review vendor invoices and check the accuracy of completed paperwork submitted.
* Compile and prepare periodic activity reports.
* Compile and prepare utility reports for the Raymond L. Flynn Marine Park and other BRA/EDIC-owned properties, tracking individual usages and charges and verifying bills.
* Maintain Project Management and Work Order system.
* Participate in diverse facilities projects as requested by the Deputy Director of Operations and Administration.
* Respond to emergency operations calls 24 hours a day.
Administration:
* Coordinate public bidding of property management and repair and maintenance service contracts.
* Participate in the development of small project specifications; oversee the distribution of labor.
* Define the scope of work in bidding documents to ensure that the product or service meets the documented needs and establishes the parameters of the contract.
* Participate in contractor selection; screen and -interview candidates. Coordinate follow-through to notify candidates of final decisions.
Perform other related duties as requested.
Minimum Entrance Qualifications
* Work requires a Bachelor's degree in facility management, business administration, information management, or engineering, plus four (4) to six (6) years of progressively responsible related experience in facilities or construction management.
* Working knowledge of building, plumbing, electrical, fire, and other related regulatory codes.
* Understanding of MGL Chapter 149, Chapter 30, and related regulations as they pertain to awarding of contracts in the Commonwealth of Massachusetts.
* Ability to read construction prints and proven experience in developing and preparing written specifications and drawings.
* Show analytical and technical problem-solving skills.
* Excellent writing and communication skills and have good computer skills/proficiency, including strong literacy in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite.
