Job Description
SUMMARY
This position is responsible for providing high-level administrative support to the Real Estate and Facilities Department. Position will be required to handle a variety of complex and confidential situations.
MAJOR DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS)
* Completes projects and special assignments by setting clear objectives, prioritizing tasks, managing timelines, fostering collaboration, monitoring progress, resolving challenges, and adapting plans as necessary.
* Facilitates the smooth operation of departmental workflows by managing filing systems, processing incoming and outgoing correspondence, updating records, and compiling reports.
* Oversees tasks assigned by the Vice President of Construction and the Director of Facilities to ensure timely completion and adherence to established deadlines.
* Collaborates closely with the Vice President of Construction and Design to maintain project timelines, producing comprehensive monthly management reports that detail progress across all initiatives.
* Prepares the Vice President of Construction and Design for internal and external meetings by gathering necessary reports and data, conducting research, and organizing logistics.
* Develops and sustains effective communication structures within the team and across departments.
* Effectively manages the workload of the Vice President of Construction and Design by serving as a gatekeeper, ensuring timely follow-up on meetings and project deadlines.
* Exhibits a strong commitment to discretion and confidentiality in all professional interactions.
* Creates engaging PowerPoint presentations and takes detailed notes during critical meetings, ensuring accuracy through thorough proofreading.
* Proactively responds to all forms of communication in a timely manner and maintains continuous communication throughout the workday via phone, text, and email.
* Demonstrates strong multitasking abilities by efficiently managing multiple projects and priorities simultaneously, ensuring timely completion of tasks while maintaining high-quality standards.
* Handles incoming calls and visitor inquiries professionally and efficiently.
ADDITIONAL DUTIES AND RESPONSIBILITIES
* Adherence to all First United Policies and Procedures.
* Dresses professionally.
* Recommends to supervisor possible methods to improve department.
* Completes all required compliance exams on a yearly basis
* Performs other duties as requested by Executive Management or Supervisor.
EMPLOYEE SPECIFICATIONS

Education and Work Experience
* High School Diploma or GED equivalent.
* Associates degree preferred.
* Three (3) years' experience in an assistant position in support of senior management preferred.
* High level experience of staff management preferred.
Technical/Functional Competencies
* Strong understanding of the internal organizational dynamics, and familiar with who does what within the organization.
* Excellent technical skills including proficiency with Microsoft Office programs:
* Excel

* PowerPoint
* Proven track record of successfully managing upwards.
* Excellent organization, writing and interpersonal skills.
* Ability to prepare management and other reports as necessary to a high standard.
* Ability to pay high attention to detail to ensure that high quality work leaves the department/organization.
* Ability to work under pressure to tight deadlines and coordinate the input of others in these circumstances.
* Ability to manage change.
* Ability to work effectively with a range of partners and stakeholders.
* Ability to work in a discreet manner, maintaining confidentiality at all times.
