About the Role Based at our Soho, NYC office, the Facilities Lead will be the face of Facilities to our broader clientele. Representing the next generation of workplace & facilities management, this role is responsible for the delivery of seamless space operations, bringing the latest trends, technology, and problem solving to the workplace. You will also serve as the connection point between service delivery functions and stakeholders, implementing and delivering on a tailored workplace strategy to meet the unique needs of your clients within our global Dyson workplace network. Critical to success in this role will be strong organization and collaboration skills. The role will focus on leading internal and external stakeholders to identify what Best-in-Class Workplace programs and services at Dyson look like and delivering on this vision through all phases of planning and execution. Key Accountabilities
  • Strategy & Planning; Work with the Regional Workplace Manager and Facilities Global Leadership to implement workplace standards and KPIs for your location. Take accountability and act as a technical expert to ensure that the workplace strategy is seamlessly deployed, equally across all service levels. Ensure that occupational utilization data is captured, regularly reported, and applied in real-time to make data driven decisions on our programs & services. Proactively contribute to your location's development plans, as well as support and advocate for industry best practices as they relate to forward planning.
  • Site Audits & Assessments: Support Regional Facilities leadership with performing regular audits & assessments of the space, including building performance, utilization, asset lifecycle management, and space conditions.
  • Stakeholder Management & Communication; Be the face of Dyson Facilities at your location and lead on all Workplace communication. Ensure regular and positive communication with key stakeholders and the Dyson community. Support the wider Facilities team by capturing all end user needs, validating priorities and requirements, and submitting these to the relevant SMEs for action while remaining at all times the client liaison and advocate.
  • Service & Vendor Management; Responsible for owning and managing internal and external resources that support the day-to-day function of the Workplace including but not limited to: Reception & Front of House welcome services, janitorial services, proactive, predictive, and reactive maintenance services, utility management, building infrastructure & compliance management, project management, catering, supply management, and mail & storage services. Ownership of vendor SLAs & KPIs, including responsibility for all contracts, purchase orders, and account deliverables will be integral to this role. A demonstrated understanding of the local facilities supply chain/vendor network & potential partnership opportunities is required. Regular tracking and reporting on vendor performance levels (cost, quality, etc) as well as defining annual KPIs and owning ABRs required.
  • Financial Management; Own the operational budget for your location and collaborate on a consistent cadence with appointed finance business partner(s) to ensure forecasting and actual spends are appropriately reviewed, approved, and documented. Consistently report all financials upward into the relevant LT to ensure all location initiatives meet with regional & global budget oversight requirements. Think dynamically in terms of spends, at all times driving the best value for money purchases possible. Implement programs & services leveraging global suppliers and regional relationships where spend agility can best be achieved.
  • Collaboration: Will closely collaborate with respective functions within Facilities & Estates teams for workspace planning, project management, and environmental/health and safety to ensure compliance and Best In Class service delivery. Will own additional key collaborative partnerships with: IT, Security, Legal, Procurement, and HS&E.

  • Space education (including but not limited to new hire introductions, signage & branding, and How To guidance for end users)

  • General space requests, improvements & repairs
  • Space upkeep and routine, preventive and reactive maintenance
  • Utilization tracking & space demand planning
  • Facilitation of programs & services sponsored by other departments that utilize the workplace (including but not limited to: trainings, events, and compliance)
  • Janitorial services
  • Building Statutory & Regulatory Oversight Compliance
Additional accountabilities:
  • Promote Global & Regional Facilities processes within the local user groups.
  • Partner with other departments such as IT, Security, Legal, Procurement etc. when required
  • Report critical details to the Facilities & Estates leadership teams while proposing timely and cost effective solutions for outstanding needs
  • Act as an ambassador promoting a health & safety culture across our workplaces. Support the H&S team in completing workplace reviews/audits (where required
About You
  • Minimum 3 years previous experience in a Workplace Management or Facilities Engineering role
  • Bachelor's Degree or minimum 5 years relevant experience
  • Proficient working in Microsoft Excel, Word, PowerPoint and internet platforms. Comfortable with adapting to and learning about Corporate Real Estate technology platforms
  • Experience with Accounts Payable processes (Ariba/SAP experience preferred)
  • Highly organized and efficient
  • Strong team player and able to work independently.
  • Proactive, diligent, committed and resourceful.
  • Strong in both oral and written communication skills.
  • Good graphical presentation skills.
  • Excellent interpersonal skills; confident and able to build productive working relationships and influence stakeholders at all levels
  • Excellent analytical skills; able to assess problems thoroughly and drive logical conclusions, demonstrating good judgement and independent problem solving skills
  • Decisive and willingness to show initiative, individual must be a self-starter who is comfortable working in a dynamic, fast paced environment and can prioritize with changing requirements
