Job Description:
TITLE: Facilities Operation & Planning Support Services Clerical Assistant
DEPARTMENT : Facilities
SUPERVISOR : Director of Facilities Operation & Planning Support Services
General Statement of Duties: Performs clerical duties in support of WSU's Facilities Department which includes but is not limited to the Mail Center, Inventory Control, Document Management/Backscanning, and the Plan Room as well as other duties as assigned. At all times ensuring accurate and efficient records are maintained based on established policies which comply with Commonwealth regulations.
Responsibilities:
1. For the Mail Center: Perform clerical duties in support of USPS and WSU's Mail Center such as metering packages, sorting and processing of mail, set up and completion of various mailing projects for a Department, Center, or the University, logging/delivery of student packages as well as having Colleague access for forwarding student mail returned from Residence Life & Housing. Repairs various backroom mailing equipment not under warranty.
2. For Inventory: Serves as a backup to assist (during heavy volume or pre-audit/year-end) with maintaining records in the inventory control system. Clerical duties e.g. generating exit reports for Employee Services, rectifying issues within the database, reporting findings to management and making recommendations for improvements as needed. Organizes the Facilities' Plan Room, creating and maintaining an accurate log. At all times ensuring accurate and efficient records are maintained based on established policies which comply with Commonwealth regulations.
3. For Document Management/Backscanning, provides clerical support for preparing documents to be scanned based on Federal and State retention schedules. Shreds documents that outdate the retention schedules and creates a table of contents for each prepared box to be picked up by the backscanning vendor.
4. (E) Responsible for contributing to the WSU Strategic Plan.

Required Qualifications:
At least 2-3 years of full-time or equivalent part-time administrative experience Detail-oriented and organized with attention to accuracy Strong communications skills, both oral and written Ability to work effectively with a wide variety of individuals and groups Proficient in Microsoft Word and Excel Proficient in use of databases Ability to perform duties above with or without reasonable accommodation Ability to work independently and as a member of a team

3. (E) Excellent computer skills (database and spreadsheet experience).

6. (E) Ability to lift 40lbs., climb ladders, and read blueprints to locate areas across campus.
