The City of Raleigh Parks, Recreation and Cultural Resources Department is seeking a Facility Rental Coordinator to join the Nature Preserves and Programs Team at Durant and Horseshoe Farm Nature Preserves. This position is a permanent part-time position and is directly responsible for overseeing the facility booking process for Durant Nature Preserve which includes preparing contracts, answering questions from prospective renters, providing facility tours, checking in and checking out renters, scheduling post event cleanings, and ensuring all paperwork and funds are received by established deadlines. Other duties may include assisting with facilities and operations tasks, natural resource projects, and educational programming. This role collaborates frequently with others in the Durant and Horseshoe Farm team as well as throughout the Nature Preserves and Program Team.
About the Preserves:
Durant Nature Preserve (237 acres) and Horseshoe Farm Nature Preserve (146 acres) have a goal of protecting and preserving the area's significant natural resources and providing nature-based recreation and environmental education experiences. This position will be based out of Durant Nature Preserve and most of the work will be performed there, although some work will occur at Horseshoe Farm Nature Preserve.

The Nature Preserves and Programs Team is part of the City's Natural Resources Unit, which is devoted to connecting people and nature through experiences, conservation, and education and is comprised of 3 Nature Preserves, 1 Nature Park, the Environmental Education Programs & Support Office, and the Land Stewardship Program. Work Hours: 8:00 AM - 2:00 PM (preferred but flexible) for 3 weekdays per week and a weekend day as late as 11pm. Work schedule does allow for some flexibility.
This role works 25 hours per week as a Permanent Part-Time position and contributes to the Local Governmental Employees' Retirement System (LGERS) at a 6% employee contribution in addition to eligibility for 401k/457 retirement plans.
* Coordinate the rental program at Durant Nature Preserve from initial inquiry to completion, to include:
* Meet with prospective renters to provide facility tours.
* Answer questions about the preserves and rental facilities via email and phone.
* Scheduling of rentals ensuring resource capacity is adequate.
* Generate contracts and maintain all paperwork associated with rentals.
* Check in and out renters during the scheduled time.
* Ensure that all rental policies and procedures are followed.
* Responds to facility and renter concerns during rentals.
* Coordinate cleaning logistics and inventory of supplies for facilities.
* Provide customer service by assisting users of the preserve, providing information, educating about rules and standards of conduct, observing necessary precautions to ensure safety of all users, and rendering first aid in case of minor injury.
* Support marketing efforts of preserve rentals, programs, and special events.
* Assist with overall park operations including opening, closing, and light maintenance.
* Support educational programming, public outreach, natural resource projects, and program animal care as needed.
* Work as a team member of the Nature Preserves and Programs Unit of the Parks and Natural Resources Division to further the mission of the Department.
* Assist in recruitment, hiring, training, and supervision of temporary part-time staff and volunteers.
* Assist City of Raleigh with clean-up and repair during inclement weather situations.
Education and Experience
High School Diploma or GED and two years of related customer service experience.

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth.
Licensing and Certifications
* Valid North Carolina Class C Driver's License with a satisfactory driving record, or the ability to obtain within 60 days of hire.
* First AID/CPR/AED training, or the ability to obtain within 60 days of hire (provided by City of Raleigh).
Preferred Qualifications
* Experience in a park, nature center, or similar public setting.
* Experience providing customer service through various modes of communication.
* Experience using various reservation, scheduling, and contractual systems.
Knowledge, Skills, and Abilities:
* Effective communication skills, both orally and in writing.
* Gathering data, analyzing findings, and articulating issues and recommendations.
* Tracking progress and maintaining efficient and accurate records in addition to multi-tasking under deadlines, coordinating these deadlines and prioritizing competing demands.
* Working both independently and as part of a team.
* Computer skills proficient enough to operate online reservation systems, Microsoft suite programs, and other software systems as needed.
* Ability to drive the on-site utility vehicles or trucks to complete duties around the preserves.
