Purpose

Reporting to the Senior Associate Dean for Academic Affairs, the Faculty Affairs Manager (FAM) is responsible for managing and coordinating various faculty-related processes and activities within the Office of the Dean. This role ensures the smooth operation of faculty affairs, including promotion and tenure, annual reviews, mid-probationary reviews, and faculty awards. The FAM also maintains faculty records, facilitates faculty meetings, and supports new faculty orientation.

Responsibilities

Promotion & Tenure

* Manage the promotion and tenure process, including candidate identification, dossier preparation, and communication with the School's academic departments, the Provost's Office, and external letter writers.

* Schedule and facilitate promotion committee meetings.

* Ensure timely submission of dossiers to the Provost's Office and handle any required corrections in conjunction with academic department leadership.

Faculty Reviews

* Coordinate the annual review process for all faculty using the Watermark Faculty Success System. Launch review workflows, provide training, and assist faculty with profile updates. Compile and review annual review data with department chairs and the Dean's Office.

* Oversee the third-year review process for tenure track and professional-track faculty. Work with departments to ensure timely completion and submission of review reports

* Manage the six-year comprehensive review process for tenured faculty. Coordinate with departments to conduct reviews and report outcomes to the Provost's Office.

Endowment Nominations

* Facilitate the nomination process for faculty endowments, including fellowships, professorships, and endowed chairs.

* Ensure nominations are reviewed and approved by the college's endowment committee. Partner with School stakeholders (HR and Business Affairs) as well as the Office of the Provost on managing endowment recipients and awards.

* Collaborate with School stakeholders and the Office of the Provost on endowment renewal processes.

Faculty Awards

* Coordinate internal and external faculty award nominations.

* Update and distribute award nomination memos and maintain a consolidated nomination list.

* Partner with School stakeholders, HR and Business Affairs, to ensure timely distribution of award funds and to process Payroll notification for new awards.

Event Planning

* Plan and coordinate faculty meetings, including fall and spring luncheons and internal award presentations.

* Organize and manage the fall semester new faculty orientation. Collaborate with HR, Instructional Innovation and academic departments on orientation and onboarding goals and activities.

* Collaborate with Office of the Dean staff to support events sponsored by the Dean and the School's leadership team.

System Administration and Partnership

* Serve as the system administrator for the Faculty Success Database by Watermark. Collaborate with academic department Administrative Operations Managers to Maintain and update faculty profiles and ensure data integrity.

* Update and manage SharePoint dashboards, Workday, and other online resources related to faculty affairs.

* Regularly communicate with McCombs HR regarding faculty appointments, leave requests, and probationary extensions that impact promotion & tenure processes.

* Partner with School stakeholders on special projects and programs that support faculty learning, development & retention.

* As a member of the Office of the Dean, regularly collaborate with Dean's Office team member on School-wide initiatives, events, and programs sponsored by the School's executive leadership team.

Required Qualifications

* Bachelor's degree and five years of relevant experience

* Demonstrated detail orientation to ensure accuracy and reliability of data, reports, and faculty governance processes

* Demonstrated ability to manage multiple tasks and deadlines in a fast-paced and dynamic work environment and establish effective work relationships with varied stakeholders across a matrixed organization.

* Able to identify ways to contribute to broad and ambiguous goals without always needing specific instructions.

* Previous success working independently and, in a team-oriented environment to accomplish goals, implement programs and/or events, make decisions and solve problems effectively.

* Demonstrated experience with pulling data from disparate systems, conducting analysis, and proposing data-informed solutions.

* Committed to customer service with an understanding that this position may be approached for guidance, triage, and assistance in areas of work outside of their direct domain.

* Excellent oral and written skills that present analysis, findings, and solutions clearly, succinctly, and effectively.

* Broad and deep experience in the administrative functions and services of a complex organization.

* Demonstrated ability and experience with Microsoft Office suite and analytical software. Previous success learning new software and technology

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

* Previous experience in higher education. Ability to work in, appreciate, and understand the priorities of an academic institution.

* Knowledge of UT operating systems.

* Previous experience managing faculty promotion and tenure processes

* Previous event planning experience

* Previous experience serving as a system administrator for a software system.

Salary Range

$70,000 - $75,000 + depending on qualifications

Working Conditions

* Works in standard office conditions with repetitive use of a keyboard at a workstation.
