Job Description: Overview: The Manager for Family Office Services holds a pivotal role in leading a dynamic team, with a focus on delivering high-quality outputs and fostering strong client relationships. This role necessitates proven managerial experience and a comprehensive understanding of essential accounting functions and processes for our external family office clients. These functions encompass accounts payable, accounts receivable, payroll, general ledger maintenance, bank reconciliations, and certain month-end close processes and reporting. This position offers growth opportunities, as it is instrumental in shaping the practice's expansion. The role involves active participation in the ongoing effort to develop and maintain best practices and procedures, as well as coaching and developing highly skilled individuals.
Responsibilities: Overseeing the day-to-day clients accounting processes and the management of financial reporting, ensuring accuracy and timeliness of deliverables:
- Capable of efficiently managing multiple client engagements at the same time, ensuring that the scope of services is successfully fulfilled and delivered promptly.
- Collaborate with team leaders to oversee and manage the client's scope of services, which includes general accounting functions such as accounts payable, accounts receivable, general ledger maintenance, month-end closing, and financial reporting.
- Ensure quality control over financial transactions and reporting by reviewing the work of other team members for accuracy and compliance, including a general ledger review for posting accuracy and record completeness; ensure that staff follow the proper steps to review client's source documentation and organize source documents accordingly.
- Oversee and complete month-end client workflow and deliverable needs for cycle-end processes, including GAAP accounting processes relating to prepaid expenses, amortizations, accrued expenses, fixed assets, depreciations, lease accounting, and balance sheet item reconciliations.
- Coordinate the preparation and timely delivery of financial reporting, custom reports, and analysis to clients.
- Manage payroll processing using ADP and Paychex, ensuring compliance with all relevant payroll regulations.
- Manage small compliance aspects including 1099s, corporate annual reports, sales and use tax, commercial rent tax and others.
- Assist / oversee annual processes including budgeting, forecasting, audits and others.
- Actively engage in day-to-day client communications to discuss ongoing matters, special projects, and address specific issues and needs.
- Actively engage with the tax team and other Crowe BUs, when necessary, to ensure compliance reporting requirements are met.
Taking a leadership role with new client engagements opportunities ensuring successful onboarding of clients, while maintaining strong communication with team leaders and clients:
- Set up accounting processes, protocols and services for new clients including systems implementations and setups
- Setup Payroll services and related compliance requirements and registrations
- Ability to review and assess existing processes and identify areas of improvements and automations
- Assessing work and train staff on new engagements, ensuring their full understanding of the scope of services
The role also involves being actively involved in with the practice development efforts which may include:
- Being actively engaged and taking initiatives in contributing to the team's ongoing efforts to optimize processes and develop best practices including documenting the group's accounting policies, procedures, and controls.
- Provide other value-added recommendations both to our clients and to help improve the firm
- Guide, mentor, and lead team members while promoting a culture of inclusiveness, high performance, and ongoing enhancement.
- Assist with client's billing and collection efforts and actively monitoring work in progress
- Engage in new prospects opportunities including participating in meetings and preparing proposals and presentations
- Research technical accounting issues and technology solutions for future personal and practice development and growth
Qualifications: - Bachelor's degree in accounting, finance, or related field
- Minimum of 5 years of experience in supervisory accounting, controllership roles, internal audit
- Certified Public Accountant (CPA), ACCA, CGMA, CMA or in pursuit is strongly preferred.
- Prior experience should include progressive responsibilities, including supervising and reviewing the work of others, and project management, including self-management of simultaneous work-streams and responsibilities.
- Internal control design and effectiveness understanding strongly required
- GAAP financial accounting, SEC Reporting, IFRS experience desirable.
- Proficiency in QuickBooks, ERP Systems (Oracle NetSuite / Sage Intaact); other applications including Bill.com, Coupa and Concur is a plus.
- Experience with ADP, Paychex ns payroll compliance is highly desirable
- Proficient in Microsoft Office applications, especially advanced Excel
Skills: - Prior experience in public accounting with multi-client facing roles or family office is a plus, prior controllership roles also desirable
- Demonstrates excellent analytical abilities, critical thinking, and problem-solving skills
- Strong written and verbal communication and comprehension both formally and informally to our clients and our teams, in a variety of formats and settings, including in interviews, meetings, calls, e-mails, reports, process narratives, presentations, etc.
- Networking and relationship management.
