Summary The Primary Purpose of this Position is to perform general office tasks to support the Scanning Unit Section of Care in the Community (CITC) Service located in Temple, TX. The incumbent provides key program support to the CITC by ensuring medical documentation received from Community Care providers are uploaded and available for review by internal VA clinical staff; and prepares imaging CDs for Veterans being referred to community providers. Responsibilities Major duties include, but not limited to: Receives, reviews, indexes, and uploads medical documentation received from Community Care providers and incorporation into the correct veteran's record using the Computerized Patient Record System (CPRS). Utilizes the appropriate computer application (VistA, Fee Basis Claims System Doc Manager, and National VA contractor portal) to retrieve and index/upload Community Care medical documentation. Reviews medical documents from Community Care providers/ facilities. Assigns the appropriate document naming nomenclature, attaches the indexed/uploaded documents to a progress note viewable in CPRS, and alerts the appropriate medical provider and Community Care RN Coordinator for review and electronic signature. Ensures all necessary health/administration information is integrated into VistA through VistA Imaging software, utilizing PC/VistA application bridges. Ensures results for stat or emergent requests are indexed/uploaded within established timeframes. Retrieves Community Care results from fax folders of Community Care AMSAs and RNs and uploads these results into CPRS. Ensures appropriate disposition of hard copy documents once indexing/uploading of documents has been verified utilizing appropriate shred boxes or Records Management directives. Burns CDs of imaging tests and procedures to be sent to Community Care providers in support of Veterans receiving care in the community. Retrieves Community Care results from the Fee Basis Claims System Doc Manager program, uploading them into CPRS. Retrieves Community Care results from VA national contractor web portals, uploading them into CPRS. Performs any related administrative duties not specifically described herein or any other duties as assigned related to Community Care or the mission of the service. This experience must be progressively responsible clerical, office, or other work that indicates your ability to acquire the particular knowledge and skills needed to perform the duties of the File Clerk position. Examples of general experience would typically include, but are not limited to: knowledge of multiple systems and current computer technology and exceptional skills in utilizing imaging and uploading applications; knowledge of medical terminology and medical record file systems, procedures, record retention, and procedures relating to the transfer and other disposition of hard copy records; basic knowledge of regulations governing the release of information pertaining to patient confidentiality, and confidentiality of patient information; knowledge of filing sequence of both administrative and medical records is necessary to properly index and upload information; skill as a qualified typist/keyboarder required to perform data entry responsibilities; operate personal computers and computer terminal equipment and troubleshoots minor problems; demonstrate courteous, compassionate, caring, and respectful behavior when interacting in response to internal and external customer questions in person and/or on the telephone.
