Summary Position will serve as File Clerk/Scanning Specialist in the Medical Records Scanning Unit of Health Information Management Section, Southern Oregon Rehabilitation Center and Clinics (SORCC). Responsibilities Duties include, but may not be limited to the following: Receives, indexes, scans, and assigns appropriate nomenclature to health and administrative information Files paper health and administrative documents in accordance with approved procedure Maintains a system of paper medical records Retrieves and delivers records or documents upon request from persons having right of access Interfaces with personal computer applications as well as numerous VISTA and CPRS applications (computer technology) Forwards requests for the transfer records to other Veterans Health Administration (VHA) medical facilities via Release of Information (ROI) Identifies and prepares records for retention and disposition Responds to customer needs in a positive and efficient manner Fully protects the confidentiality of patient information, access to computer files and release of access codes, according to established guidelines and policies Consistently communicates with customers in a courteous, tactful, and respectful manner. Effectively manages conflict and resolves problems with customers constructively. Performs clerical duties, including, for example, the use of computerized records tracking, associated with the retention, maintenance, disposition, and control of administrative and medical records Transfers or prepares for archiving records of patients not receiving medical care within a three-year period Performs additional duties as assigned. General experience includes but is not limited to: Receiving, indexing, and scanning documents to correct patient's record; maintaining records; utilizing electronic filing systems and computer technology; protects the confidentiality of patient information; consistently communicates with customers in a courteous, tactful, and respectful manner; and managing work duties to meet deadlines. NOTE: Experience must be fully documented on your resume and must include job title, duties, month & year starting and ending dates AND hours worked per week. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 2 full years above high school or equivalent degree in any field for which high school graduation or the equivalent is the normal prerequisite. Proficiency Requirements-In addition to meeting experience requirements, applicants for this position must show possession of the following proficiency: ability to type 40 words per minute. Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Physical Requirements: The work with computers is mainly sedentary in an office environment. However, paper mail /records retrieval, filing, and management involves long hours of standing, with extensive bending, reaching, lifting, stooping, pulling, and other physical exertion or strain.
