Final Painter OverviewThe Office Administrative Assistant will support the daily operations of the manufacturing plant's office. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The successful candidate will ensure smooth office operations, maintain records, handle correspondence, and provide administrative support to the plant's management and staff.
  • Answer and direct phone calls.
  • Greet visitors and manage reception area.
  • Maintain office supplies, inventory, and place orders as necessary.
  • Ensure office equipment is properly maintained and serviced.
  • Prepare, organize, and maintain files, records, and documentation.
  • Handle confidential and sensitive information with discretion.
  • Assist in organizing facility events and activities.
  • Serve as a point of contact and facilitate effective communication between the office and other departments within the plant.
  • Purchase materials for the facility by writing purchase orders.
  • Receive Purchase orders, daily pack lists, tickets, proof of deliveries, work orders, and invoices and send the documentation to the proper department.
  • Using ERP system to enter purchase orders, and to print and close work orders after shipments.
  • Other job duties as directed by management.
Qualifications
  • Possess a High School Diploma or equivalent; Associate's degree is a plus.
  • Minimum of two years of experience in an administrative role.
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint)
  • Fluent in both written and spoken English
  • Strong written and verbal communication skills
  • Attention to detail and problem-solving skills
  • Passion for doing a job well
  • A self-motivated team player
  • Able to sit for extended periods and perform desk-based tasks.
  • Able to lift 25 pounds with reasonable accommodations to occasionally lift and move office supplies and equipment.
  • Must pass a background check and drug test
