Job Description:

The Finance & Accounting Associate II plays a vital role in the financial management of research administration. This position will handle a wide range of financial and accounting tasks related to research grants and projects including but not limited to invoicing, revenue recognition, monthly closeout, revenue drawdowns, IC (indirect cost) calculations, payroll management and sequencing revenue reconciliation. The Finance & Accounting Associate II will further enhance their technical expertise and take on more complex accounting tasks with greater independence. They will ensure compliance with accounting principles, sponsor and institutional requirements while actively supporting the Research administration team. Additionally, active involvement in the ERP system implementation will include assisting with testing, reviewing processes, and providing guidance as needed. This role will also support the Finance & Accounting Manager with external compliance and audit requirements, including the Single audit, Full audit (for research activities only), 990 tax reporting (for research activities only), internal fiscal budgeting, Schedule of Expenditures of Federal Awards (SEFA) and the Negotiated Indirect Cost Rate Agreement (NICRA).Key Responsibilities include (but are not limited to):Perform complex accounting tasks with a high degree of independence, ensuring compliance with generally accepted accounting principles (GAAP) and sponsor reporting requirements.Prepare journal entries, process month-end revenue recognition and conduct indirect cost (IC) calculations.Assist with grant month-end closeout processes, prepare grant invoices, and manage subaward invoices.Process unbilled, payment management system (“PMS”), and invoice drawdowns.Assist in preparing and submitting interim and final invoices to sponsors as per award instructions.Prepare financial reporting as part of grant closeout for federal and non-federal sponsored projects.Execute monthly salary distributions across all funding sources at NYGC, including managing the monthly updates of effort related to the Sequencing Services Facility for relevant departments.Maintain the salary management system to ensure financial and compliance records match the general ledger, reconciling any discrepancies between the two databases.Process new hires, terminations, and pay changes in the salary management system.Actively participate in ERP system testing and review, providing instructions and guidance to the team as necessary. Monitor system performance post-implementation and report any issues or areas for enhancement.Manage weekly sequencing invoicing for certain sequencing contracts, directly impacting the Center's financial health.Collaborate with Grants Managers to identify, investigate, and resolve discrepancies in grant expenditures and reporting.Generate ad hoc expenditure reports and data analyses as requested, including preparing and assembling documentation for the Annual Single Audit, interim and Full Financial audits, Schedule of Expenditures of Federal Awards (SEFA) and the annual Negotiated Indirect Cost Rate Agreement (“NICRA”) proposal, 990 Tax reportPlease note, this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. The incumbent in this position is eligible for a flexible work schedule or hybrid work arrangement with supervisory approval.Salary & BenefitsThe pay range for this position is $80,000 - $92,000 per year; the base pay offered may vary depending on job-related knowledge, skills, and experience.In addition, NYGC offers a full range of medical, financial, and other benefits as well as generous time off.
