Finance Specialist (HEOa)

**POSITION DETAILS**

Reporting to the Director of Finance and Administration in the Architecture division, the duties of the Assistant to the Director of Finance and Administration encompass assisting with the administration of the financial and business functions of the Architecture school. This requires use of a variety of computer software and systems. The assistant will need to perform tasks according to work priorities and general instructions provided by the supervisor. Responsibilities include exercising judgement in selecting and applying established procedures correctly and in determining when to refer problems to the supervisor. In addition to the CUNY title Overview, the Administrative Specialist duties include but are not limited to the following:

+ Processes and or oversees the processing of financial forms

+ Checks, corrects and maintains a variety of financial and other business records and documents

+ Answers inquiries and provides basic information to faculty, students and staff on fiscal

+ Assist in preparing various financial or administrative reports

+ Processes requisitions for supplies and equipment

+ Reconciles receipts for supplies and equipment

+ Under the Director of Finance and Administrations guidance may initiate new procedures in financial systems

+ Assist the Director of Finance and Administration in overseeing the program and budgetary activities

+ Collaborate with the Director of Finance and Administration in reviewing ongoing fiscal requests to formulate appropriate recommendations

+ Support the Director of Finance and Administrative in gathering information to prepare expense and revenue financial reports

+ Provide guidance with travel coordination for all staff, and faculty/student course and studio trips

+ Liaises between immediate supervisor, Dean, Chair and Program Directors to ensure completion of tasks and duties

**QUALIFICATIONS**

Bachelors degree and four years related experience required.

Preferred Qualifications:

Excellent attention to detail and ability to meet deadlines, ability to manage multiple complex tasks and/or projects simultaneously, and ability to maintain composure under pressure

Strong analytical skills with demonstrated experience compiling financial statements and accounting for complex transactions

Provides administrative and program support to an administrative or academic department.

- Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.

- Works with appropriate offices related to personnel recruitment, expediting search activities

- Research coordinates and organizes materials for key events such as promotion and tenure reviews.

- Supervises and trains support staff and student workers.

- Manages budget and coordinates purchasing, accounting, and payroll.

- Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.

- Performs related duties as assigned.
