POSITION: Finance Systems Administrator

CLASSIFICATION: Full-Time, Hourly, Non-Exempt

SCHEDULE: Monday-Friday, 8am-5pm

OVERVIEW: Redemption Church is seeking an experienced and detail-oriented Finance Systems Administrator to manage and maintain the church's financial systems with a specific focus on invoicing, purchase requests, credit card reconciliation, account coding, and vendor management. This role will ensure that financial processes run smoothly, are accurately reported, and support the church's financial accountability and stewardship. The ideal candidate will have a blend of technical expertise in financial systems and experience in finance operations, particularly in vendor management and expense tracking.

Key Responsibilities:

  • Invoicing and Purchase Requests:Oversee and manage the church's systems for invoicing and purchase requests, ensuring timely and accurate processing. Maintain workflows for purchase approvals and ensure compliance with church policies for procurement. Provide training and support to staff on how to use invoicing and purchase request systems.
  • Credit Card Reconciliation:Administer the church's credit card reconciliation process, ensuring that expenses are tracked, coded, and reconciled accurately. Implement and manage systems for tracking credit card spending, ensuring appropriate approvals and compliance with church policies. Assist staff in submitting and reconciling credit card transactions within the system.
  • Account Coding and Financial Reporting:Manage and ensure accuracy in the account coding process, collaborating with the finance team to ensure transactions are properly categorized. Support the finance team in generating reports that are aligned with ministry budgets, expenses, and overall financial health. Administer vendor management systems, ensuring vendor information is up to date and payments are processed in a timely manner. Ensure compliance with vendor contracts and agreements, managing the timely processing of vendor invoices. Maintain relationships with key vendors, addressing any system-related issues in payments or invoice processing.
  • System Maintenance and Optimization:Maintain and troubleshoot finance systems used for invoicing, purchase requests, credit card reconciliation, and vendor management. Collaborate with finance and IT teams to identify system improvements, ensuring the technology meets the church's financial needs. Coordinate system upgrades and patches, ensuring minimal disruption to financial operations. Create and maintain system documentation, including procedures, workflows, and configurations.
  • Compliance and Security:Ensure data accuracy and integrity in all financial systems, including secure handling of sensitive financial information. Ensure all systems comply with legal and church policy requirements regarding financial transactions and data security. Assist with audits by providing accurate financial data and reports as needed.
  • Requirements

    Qualifications:

  • Bachelor's degree in Finance, Accounting, Information Systems, or a related field.
  • 3+ years of experience in finance systems administration, particularly in invoicing, purchase requests, credit card reconciliation, and vendor management.
  • Strong understanding of accounting principles and financial processes, including accounts payable and account coding.
  • Experience with financial and vendor management software (e.g., Intacct, Nexonia, Bill.com, QuickBooks, Shelby Systems, or other ERP solutions).
  • Excellent troubleshooting skills and technical proficiency with finance system administration.
  • Strong organizational and project management skills, with the ability to prioritize tasks and manage multiple processes simultaneously.
  • Detail-oriented with a focus on maintaining accuracy and compliance in financial operations.
  • Ability to work collaboratively with church staff, vendors, and the finance team.
