The firm manages a diverse portfolio across various asset classes, including publicly traded securities, private equity, real estate, and more. Key Responsibilities
- Provide outstanding administrative support to the firm's investment teams, ensuring seamless operations.
- Manage multiple team inboxes, prioritizing and addressing requests efficiently.
- Screen and direct communications, including calls and conference arrangements.
- Coordinate calendar management, including complex meeting logistics and industry events.
- Oversee domestic and international travel arrangements and process expense reports.
- Maintain databases, contacts, filing systems, and track key documents such as earnings reports.
- Conduct research on companies, markets, and industries using various tools, and distribute findings to the team.
- Liaise between accounting and investment analysts for invoice processing.
- Draft correspondences and manage special projects as needed.
- Collaborate with teammates to streamline processes and suggest best practices.
- Support the broader administrative team, providing backup coverage as required.
Qualifications
- Bachelor's degree or equivalent with 4+ years of professional administrative experience, preferably in the financial or real estate industries.
- Proven ability to thrive in a fast-paced, deadline-oriented environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional communication skills, both written and verbal, with strong command of English grammar and syntax.
- Demonstrated ability to work independently while effectively collaborating within a large team.
- Experience supporting high-level investment professionals is preferred but not required.
- Strong organizational and problem-solving skills with attention to detail and accuracy.
- Flexible schedule to accommodate changing business needs and team coverage requirements.
