Position Title: Sr Assistant Director, Financial Aid Time Type: Full time Position Summary and Qualifications: The Senior Assistant Director will assist in the administration of federal, state and institutional aid, ensuring institutional compliance with all associated guidelines. This individual will also assist in resolving complex billing and financial aid issues, exercising professional judgment as appropriate, and will perform in-depth data analysis to inform business processes and customer service protocol. The Senior Assistant Director will be a leader in identifying methods to improve practices, processes, and service from a student, staff and institutional perspective. Reporting to the Assistant Vice President for Financial Aid, this position will involve significant interaction and collaboration with all Financial Aid staff, as well as various other departments. The Senior Assistant Director must have strong analytical skills, be detail-oriented and assume a high level of responsibility and initiative. Essential Duties & Responsibilities Assist with auditing financial aid packages as needed. Assist with trouble-shooting errant loan records and with Pell and Direct Loan reconciliation discrepancies as needed. Co-coordinate the refund review process during peak times and also perform the weekly review of University City student refunds. Work with Financial Aid staff to resolve complex billing issues, financial aid eligibility and program-specific requirements. Process federal and private loans, perform federal verification and review/add PHEAA State Grant awards for students in assigned caseload. Coordinate distribution of PHEAA reports and EFT notices as well oversee reporting and posting of PHEAA EAP, PATH and CHAFEE awards. Certify outside (non-PA) state grants. Participate in ongoing training sessions and attend professional conferences/meetings related to Title IV and state financial aid programs and cash management. Provide office and phone coverage on a regular basis. Serve as a backup in processing R2T4s/withdrawals in the absence of the primary staff member that performs these duties. Provide counseling and follow-up to service requests for those in assigned caseload in resolving eligibility issues related to their FAFSA and regularly review quality assurance audit reports for this population, taking the necessary appropriate action to resolve issues. Secondary Duties & Responsibilities Perform retention-related outreach to students in assigned caseload to assist them in meeting their financial obligations and attend/represent financial aid at on-campus recruiting events as needed. Perform other duties as assigned by supervisor and management chain Minimum Qualifications Required Bachelors degree. Three or more years experience in a financial or operational environment. Three or more years experience working with complex regulations and policies. Three or more years experience with data reporting tools. Three or more years experience in packaging students. Experience providing direct oversight of major Title IV and state aid programs, and completion of associated compliance reporting. Experience serving as point-of-contact for federal, state and internal audits/program reviews. Experience interpreting and implementing Title IV, state and FERPA regulations. Excellent customer service and communication skills. Demonstrated ability to make decisions based on objective data while applying complex regulations and institutional policies. Demonstrated ability to manage time, work in a collaborative environment, meet specific deadlines and manage multiple projects in a fast-paced environment. Must be in good standing in all Federal Title IV programs. Valid drivers license and available vehicle. Preferred Masters degree. Demonstrated experience in billing services or financial aid functions within higher education.
