JOB DESCRIPTION:
Performs secretarial functions to support the efficient operation of purchasing and budget functions of the Maintenance Department.
DUTIES and RESPONSIBILITIES:
* Prepare correspondence, memorandums, forms, requisitions, and reports for Maintenance office.
* Process field purchase orders in a timely manner.
* Follow Board policy on all matters.
* Maintain bid specifications and purchasing files.
* Answer incoming calls, take messages, and route them to appropriate staff.
* Answer incoming calls and handle questions and requests that fall within level of responsibility.
* Perform routine bookkeeping tasks, including simple arithmetic operations to maintain department budget records.
* Assist with preparation of purchase orders and payment authorizations.
* Assist Maintenance staff with issuing internal purchase orders.
* Assist all District staff with creating work orders.
* Assign work orders to appropriate staff.
* Follow established safety procedures and techniques to perform job duties.
* Respond to emergency calls as needed and be on-call/stand-by as assigned by supervisor.
* Maintain confidentiality.
* Regular attendance.
* Other duties assigned.
EXPERIENCE:
* Three to five years of secretarial experience
QUALIFICATIONS:
Education/Certification:
* High School Diploma or GED
Special Knowledge/Skills:
* Proficient typing, keyboarding, and filing
* Ability to use personal computer and software to develop spreadsheets, databases, and word processing
* Knowledge of basic accounting principles
