Responsibilities
These positions work at multiple practices within the Florida Medical Practice Plan, including FSU PrimaryHealth, FSU SeniorHealth, FSU BehavioralHealth, and FSU Neuromodulation. Primary location/practice will be determined and assigned based on practice needs and individual abilities/availability.
Aids in all aspects of patient care in conjunction with administrative and clinical staff at FSU PrimaryHealth, FSU SeniorHealth, FSU BehavioralHealth, and/or FSU Neuromodulation. Maintains confidentiality of all personal health information. Assures that information is maintained, handled and released in accordance with applicable federal and state statutes and practice policies.
Clinical duties include, but are not limited to:
Under the direction of the Office Manager, performs all aspects of intake for patients, including taking accurate histories, patient vital signs, vision and hearing screens, and other screenings or questionnaires as needed by the clinician. Ensures all electronic health record (EHR) information is current. Sets up for and assists providers with exams and procedures. Gives injections and handles minor procedures such as collection and testing of specimens, casting, splinting and applying dressings, as needed. Participates in motivational interviewing and techniques of self-management support (goal setting and patient readiness to change). Performs high-level disinfection.
Assists with patient needs between visits. Triages patient phone calls and provides in-basket management support for clinicians. Notifies patients of test results and other follow-ups needed. Manages patient expectations and is able to resolve patient concerns independently. Schedules diagnostic testing and obtains prior authorizations as needed. Assists with traces and regulatory readiness for quality and patient care.
Performs as medical scribe for assigned clinician as needed. Assists clinician during entire patient encounter, documents the visit as it occurs in real time. Accurately and thoroughly completes clinical notes of patients visit, orders, and procedure performed by the clinician for review and approval of the clinician. Anticipates clinicians' needs to facilitate a smooth and efficient workflow. Performs duties in a discreet and tactful manner so as not to distract the physician from medical care. Works with Office Manager and physicians to develop standardized documentation protocols and procedures. Performs other clerical duties and tasks to improve provider productivity and clinic workflow as assigned.
Administrative duties include, but are not limited to:
Acts as the first point of contact to patients who walk in or call to schedule an appointment. Schedules patient healthcare appointments for multiple clinics. Utilizes facility protocols to determine appropriate placement of patients based on presenting problem. Answers all calls according to practice policies and procedures in a timely and professional manner. Screens incoming phone calls, answers routine questions and forwards inquiries to appropriate departments. Assists in monitoring the schedule and removing patients from appointments when they do not show within the allotted time slot. Maintains communication with nursing staff regarding unscheduled patients and patients who appear to need care prior to the first available appointment.
Verifies patient insurance eligibility status and registers patient in Electronic Medical Record (EMR). Provides information and support to patients regarding available healthcare services. Directs patients to appropriate departments/offices to facilitate problem resolution regarding fees, insurance, immunizations, questions for providers, etc. Cancels/reschedules appointments according to facility appointment guidelines. Initiates telephone encounters for clinical staff to return calls to patients regarding questions or concerns. Communicates appropriate information to supervisors and providers as necessary.
Checks patients in and out in a professional, timely and hospitable manner while following clinic check-out and cash handling policies. Greets patients, ensures insurance, pre-certifications and prior authorizations are correctly entered. Accurately enters all charges and payments from the provider encounter form into the electronic medical record. Collects copayments, prepayments, bad debt, self-pay balances and other payments at the time of service. Appropriately balances deposits, checks and credit card systems. Balances and closes batches daily (100% accuracy) with appropriate secondary verifier. Demonstrates knowledge of third-party payers, billing, accounts receivable functions and payment codes.
Attends and participates in scheduled departmental meetings and other meetings or committees as directed. Attends in-service presentations, training and mandatory education programs. Promotes an atmosphere of teamwork in accomplishing the mission and goals of the practice.
Qualifications
High school diploma or GED and two years of work experience. (Note: post-high school education can substitute for experience at the equivalent rate.)
* Valid Certified Medical Assistant Certification or Registration (CMA, NCMA, RMA or CCMA).
* Current Basic Life Support (BLS) Healthcare Provider Certification issued by a certifying agency, or the ability to obtain prior to hire.
* Experience demonstrating effective customer service skills.
* Experience communicating effectively verbally and in writing.
* Experience performing accurately in a detail oriented environment.
* Experience prioritizing, organizing, and performing multiple work assignments simultaneously.
* Experience utilizing problem solving skills.
* Experience with computer applications and programs such as Electronic Health Records (EHR), Microsoft Word, Excel and/or Outlook.
* Ability to understand and follow written and verbal instructions.
* Ability to perform basic mathematical calculations.
* Ability to perform assigned responsibilities with minimal to moderate supervision.
* Post-job offer, but prior to hire, the following will be required:
* Documentation of current PPD (Purified Protein Derivative) test as performed by a qualified physician, reporting negative results within the past six months.
* Documentation of physical examination completed by a qualified healthcare provider/physician within the past six months.
* Within 30 days or hire, the candidate must provide:
* Documentation of Tetanus immunization within 10 years.
* Documentation of Hepatitis B vaccine or positive antibody titer.
Preferred Qualifications
* Knowledge of available medical resources and terminology.
* Experience with collection and/or cash handling procedures, and the ability to perform monetary transactions.
* ABR-OE credentials is highly preferred.
* Experience preparing clear and concise reports, procedures, correspondence, and/or other written materials.
