Overview:

The Food and Beverage Administrative Assistant will support the day-to-day administrative operations of the Food & Beverage department. Primary duties include data entry, supporting the F&B Director and Managers by reconciling purchase orders, receiving in-coming stock, tracking shipping inventory to our various food outlets, adding items to our inventory database, and assisting in cafeterias, as needed.

Responsibilities:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Prepares and processes correspondence, reports, spreadsheets and communicates with vendors and team members.
  • Orders and maintains inventory of office, lodge, and kitchen supplies.
  • Works closely with the Director of F&B and the Managers on payroll and expense budgets. Provides information and tracking systems.
  • May assist with monthly inventory.
  • Prepares, maintains and tracks purchase requisitions, invoices, inventory and transfers for F&B team.
  • Assist Managers with all onboarding and separation of team members. May handle time and attendance review and closing departments for payroll processing.
  • Assist as needed in the food and beverage operations such as filling in for food prep and food service.
  • In depth knowledge of the F&B point of sale system for daily usage and ability to run reports and create spreadsheets as directed.
  • Contribute to team effort by participating in Job Sharing, assuming responsibility for the cleanliness of the resort and safety of guests and employees; participating in safety & company meetings; accepting diverse assignments; maintain a positive and friendly attitude and demeanor in all internal and external interactions
  • Participate in any aspect of the Food and Beverage Department while maintaining good organizational performance with the administrative needs.

RESPONSIBILITIES TO SAFETY:

  • Protect the safety of self, co-workers, and Loon Mountain Resort guests at all times.
  • Report any potentially harmful equipment or situations to the immediate supervisor without delay.
  • Report safety-related accidents and incidents at once to immediate supervisor.
  • Follow all company and department safety policies and procedures.
  • Operate equipment in a safe manner that will not lead to injury of yourself or others.
  • Drive in accordance with the law and Loon Mountain Resort policies.

SUPERVISORY RESPONSIBILITIES

This position does not have any supervisory responsibilities.

EDUCATION and/or EXPERIENCE

A high school education or up to two years of experience handling administrative duties and some food and beverage experience required.

LANGUAGE SKILLS

Reading and writing are required for performing this job.

MATHEMATICAL SKILLS

Basic math skills are required.

REASONING ABILITY

Ability to use reasonable judgement when working with the guest and managing administrative functions.

ServSafe certificate may be obtained.
