DescriptionFood Programs Operations & Partnerships Coordinator(FULL-TIME)The Food Program Systems & Operations Coordinator plays a crucial role in supporting Food for HOPE's mission by managing the operational and technological aspects of our food programs. This position is responsible for enhancing operational efficiency, managing data, and establishing strategic partnerships to ensure a sustainable supply of food, while also supporting community engagement through the collection of stories and content for various communications platforms. The Coordinator works closely with the Food Programs Manager and other team members to ensure seamless operations and contribute to the growth of our food programs, which include the food pantry, teaching kitchen, teaching garden, farm-to-table experience, and mobile food delivery.Essential Job Responsibilities Operational Efficiency (25%):•Assist in overseeing tasks associated with daily operations of all programs, including: inventory levels, food distribution, food pick-ups and drop-offs, managing kitchen and gardening schedules, maintenance of supplies, and coordination and execution of events.•Perform a variety of administrative tasks such as maintaining accurate records, coordinating meetings, managing correspondence, organizing program files, documentation, and scheduling.•Act as the primary contact for community members, providing exceptional customer service, addressing their needs compassionately, and managing client registration and record updates.•Contribute to the development and implementation of new programs, including mobile pantry services and nutrition education.•Implement and manage software systems for inventory tracking, volunteer management, and program operations.•Support the development and maintenance of standard operating procedures for all food programs.•Continuously assess and improve operational workflows for increased efficiency.•Train staff and volunteers on the use of various software systems and tools.Food Sourcing & Procurement (25%):•Cultivate relationships with local farmers, food banks, community organizations, and other potential food donors to source 70% or more of food needs for the programs.•Negotiate and manage food donations and contributions to meet program needs.•Oversee food acquisition processes for mobile pantry services, teaching kitchen, and other food-related activities.•Work with the Food Programs Manager to plan and forecast food requirements based on program capacity and community needs.Content Creation for Digital Platforms (15%):•Collect images, stories, and multimedia from program participants, volunteers, and community members.•Collaborate with the marketing team to supply content for the Food for HOPE website, annual reports, impact videos, and social media through CCNJ's platforms.•Assist in gathering program success stories for use in fundraising and awareness efforts.•Create and distribute email newsletters and other digital communications.Program Support & Volunteer Management (10%):•Recruit, train, and manage volunteers across all food programs.•Collaborate with the Food Programs Manager to ensure program operations run smoothly.•Develop and implement systems for volunteer scheduling, performance tracking, and training materials.•Aid in facilitating program events and activities.Compliance & Reporting Support (10%):•Verify compliance with federal and local agencies' safety and health regulations.•Ensure all food distribution activities adhere to health and safety regulations, including proper handling, storage, and transportation, while conducting routine inspections and promptly reporting any safety concerns.•Assist the grant writer by providing accurate data and documentation to ensure program compliance and support grant reporting requirements. •Provide necessary data, reports, and analytics to government and other agencies to meet reporting and compliance requirements. •Maintain accurate digital records for auditing and reporting purposes.EDUCATION, SKILLS, AND/OR EXPERIENCE REQUIRED•Bachelor's degree in an analytical field e.g. Information Systems, Data Science, Operations Management, Supply Chain Management or related field.•Minimum of 2-3 years of experience in program coordination, administration, or a related field, preferably in a nonprofit or food service environment.•Proficiency in data management and analysis tools (e.g., Excel, Tableau).•Experience with food procurement and sourcing strategies.•Strong written and verbal communication skills.•Ability to work collaboratively with community partners and manage relationships.•Experience in volunteer management and training.•Familiarity with social media content creation, but not full social media management.SKILLS REQUIRED•Understanding of nonprofit operations and food insecurity issues.•Ability to translate complex data into actionable insights.•Familiarity with project management methodologies.•Creativity in developing engaging digital content.•Adaptability to learn and implement new technologies quickly.•Attention to detail and ability to manage multiple priorities.•Ability to manage time effectively and meet deadlines.•Strong interpersonal skills to work effectively with program staff, volunteers, and participants.•Ability to lift up to 25 pounds and participate in physical tasks associated with food distribution.•Ability to work flexible hours, including evenings or weekends
