Job Description:

Our Administrative Assistants serve as the first point of contact for clients and plays a key role in the daily operations of our firm. We seek a highly organized, dependable, and professional individual who can efficiently manage multiple responsibilities while consistently delivering exceptional customer service.

SALARY: $25.00 - $28.00/hourly

LOCATION: Salem, NH (On-site)

SCHEDULE: M-F, 9:00AM-5:00PM

Mon-Thurs, 9:00AM-5:00PM

Fri, 9:00AM-2:00PM

WHAT YOU'LL DO:

  • Warmly greet clients and visitors, fostering a positive and welcoming atmosphere.
  • Manage incoming phone calls and emails by providing accurate information, taking detailed messages, or directing inquiries to the appropriate team members.
  • Prepare, organize, and manage correspondence, reports, and documents related to tax preparation and various accounting services.
  • Maintain organized filing systems, both digital and physical, ensuring confidentiality and quick access to important records.
  • Assist in preparing client documentation and forms for meetings and submissions.
  • Coordinate schedules, appointments, and meeting logistics to support seamless team operations.
  • Provide general administrative support to ensure the office runs smoothly and efficiently.

WHAT YOU'LL NEED:

  • Previous experience as a Front Desk Representative, Administrative Assistant, or in a similar role, ideally within an accounting firm or financial services setting.
  • Exceptional verbal and written communication skills, with a professional demeanor when engaging with clients and colleagues.
  • Strong organizational abilities, capable of handling multiple tasks and prioritizing work efficiently.
  • Proficiency in Microsoft Office Suite.
  • A high school diploma is required; additional education or certifications in administrative services or a related field are preferred.
