Front Desk Administrative Assistant / Director of First Impressions
Job Description:
Boca Raton based Wealth Management firm seeking a full-time Front Desk Receptionist / Office Administrative Assistant. Our firm is looking for a dedicated assistant to handle client-facing duties as well as general office administrative/executive assistant tasks. When our clients walk into our office, we want them to find a friendly, smiling face and a helping hand. The ideal candidate has excellent communication and multitasking skills, professional demeanor, a friendly positive attitude, and a strong work ethic.
Primary Responsibilities:
· Primary Receptionist; Answering phone for an office staff of 25+
· Greet new clients & appointments with a friendly approach of offering a beverage & intake form
· Qualifying and following up with new business leads – assist with Lead tracking spreadsheet
· Scheduling and confirming appointments; including video zoom scheduling
· Maintaining office calendar in CRM
· Maintaining paperless filing system with records/accounts/database using Box & Redtail
· Assist marketing department with seminars as needed
· Maintain technology inventory & set up technology for new & existing staff
· CRM data management; data entry of new prospects
· Assist with special projects and overflow tasks
· Process mail & Fed Ex deliveries
· Ordering & maintaining office supplies
· Tracking & ordering office & kitchen supplies
· Full time, in office, Hours 8:30-5:30
Qualifications:
· 1+ year experience working in a professional office environment as Receptionist or Front Desk Administrator
· Financial / Legal industry a plus but not required
· Charismatic, up-beat, positive, friendly personality
· Technology savvy, initiative to learn, explore, and implement new technology
Salary:
· $55,000 - $60,000 / year depending on experience
