Northern Illinois Food BankJob Title Description: Front Desk Coordinator, Part-TimeClassification: Non-ExemptReports to: Director of VolunteersUpdated: November 2024Position OverviewThe Front Desk Coordinator will support the organization by providing coverage for the front desk three days a week with phone inquiries, greeting visitors and directing meeting space guests, as well as provide administrative support to the Volunteer Team as needed with tasks such as data entry, responding to calls/emails, coordinating logo wear items and more. This role shares front desk duties with another part-time team member who works on different days.Duties and Responsibilities Provide a welcoming face and voice for all visitors and callers to the Food Bank Compassionate care for all callers, regardless of reason or need Ensure excellent customer service for all volunteers. This includes but is not limited to making and answering calls and emails, greeting volunteers in the office, selling logo wear, taking pictures Manage logo wear ordering, inventory, and sales tracking for all four Food Bank Centers Manage breakroom supply inventory for Geneva Center Assist the Volunteer Team with scheduling volunteers, including families, individuals, schools, churches, and businesses, coordination of schedules through managing phone and email inquiries. Engage with volunteers as they arrive and leave shifts answering questions, taking photos, and serving as a resource for information, including donation opportunities, future volunteer opportunities, and other ways to get involved. Assist with the management of the volunteer registration system to ensure the accuracy of contact information, volunteer hours, and shift registrations. May train and direct skills-based volunteers on projects as needed May support the larger Philanthropy Team with administrative tasks, including but not limited to filing, mailings Support Volunteer Team with volunteer database management, including entering data into the new system, running reports, and training volunteersOther DutiesPlease note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. Experience with data entry is also preferred Proficient in Microsoft Suite (i.e. Outlook, Word, Excel, PowerPoint, Teams, etc.) Excellent organizational and time management skills with demonstrated ability to successfully multi-task Ability to professionally communicate in a variety of ways (i.e. in person, by phone, written communication in emails, and through direct messaging through the use of a volunteer database) Ability to work in a collaborative environment and contribute to the function of a team Attention to detail is requiredSupervisory ResponsibilityThis position has no supervisory responsibilities.Benefits Eligible Health insurance (medical, pharmacy, dental, and vision plans) Matching 401(k) Paid time off Professional development opportunities Employee eventsWork EnvironmentThis job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.Work Environment and Expected Hours of Work This is a part-time position working three days a week, with a maximum of 29 hours a week. The ongoing schedule is set for Mondays, Thursdays, and Fridays from 8 am - 5 pm. Flexibility to attend evening and/or weekend events several times a year. Aility to work with others, both verbally and face to face.
