Whether scheduling appointments, leading the intake process or following through on multiple internal tasks, this role requires communicating effectively, courteously and professionally with clients and staff members. The preferred candidate should possess attention to detail, a willingness to assist others, and excellent communication. No legal experience is required and on-the-job training will be provided. This position is for our Williamsport office working in-person Monday through Friday 8:30 a.m. to 5:00 p.m. with an hour unpaid lunch.
Essential Duties and Responsibilities
Front Desk
Phone Responder
Serve as a phone responder to answer phone calls, direct caller to appropriate staff member and/or email appropriate department a message related to the call.
Maintain a professional and pleasant manner on the phone.
Limit callers time on hold, apologize for delays.
Scheduling
Assist clients or potential clients with scheduling appointments or initial consultations by creating appointments in Outlook/Zoom and updating our client database.
Manage Outlook calendars for various staff members to ensure all appointments are correctly listed across individual and office calendars.
File Management
Assist with preparing files for new clients/maintaining old files
Assign tasks to staff to advance files from potential client status through the client process and concluding in the inactivating file stage once work is completed.
Writing/Information Gathering
Coordinate the intake process in order to understand clients' needs and wishes for effective planning.
Gather personal, family, health and asset information and compile assets into a Client Information and Asset List.
Order tax assessment cards and title searches for clients real estate.
Prepare and proofread correspondence.
Record documents at the county courthouse as well as at the Department of State, IRS, the Office of Veterans Affairs, and the Department of Public Welfare.
Qualifications
Customer service or administrative experience required.
Some college is preferred.
Shows great interpersonal skills and excellent written communication.
Shows ability to quickly finish very detailed work.
Navigates computer programs with ease.
Proficient in Microsoft Office applications (Work, Excel, Outlook).
