Reports to: Operations Manager

Location - onsite/hybrid: Onsite

Hours: Monday-Friday, 40 hours per week

What you'll do:

We are seeking a highly organized and experienced Medical Front Desk Supervisor to oversee the administrative front desk functions of our OAMNY-Great Neck and Huntington offices. The Lead will manage a team of front desk specialists, ensure efficient front end office operations, and maintain the highest standards of patient service. The ideal candidate will have strong leadership skills, extensive knowledge of medical insurance verification processes, and a commitment to excellence in customer service.

Responsibilities/Duties:

* Supervise front desk specialist, providing training, support, and performance evaluations.

* Coordinate daily work schedules, assign tasks, and ensure that front end administrative duties are completed accurately and efficiently.

* Foster a positive work environment and address any team issues or conflicts that arise.

* Ensure efficient patient check-in and check-out processes

* Verify patients' insurance is active and correctly entered into Modmed and fees are noted in chart.

* Setup payment plans/collect past due patient balances.

* Manage patient scheduling and appropriate visit types.

* Address patient inquiries and concerns, ensuring high levels of customer service.

* Maintain compliance with healthcare regulations, including HIPAA.

* Monitor Front end office supplies and equipment sending emails when orders are needed.

* Prepare and maintain reports related to front desk operations. (i.e. Copay Collection, unbillable)

* Assist with billing and insurance verification

* Conduct daily batch reconciliation and bank deposits

* Implement and enforce office policies and procedures

* Work with Operations to create improvement initiatives and changes regarding insurance, company policies, etc.

* Perform other duties as assigned

Qualifications

Qualifications:

* High school diploma or equivalent.

* Proven experience in a medical office, with supervisory experience preferred.

* Strong Excel, Word & Outlook skills.

* Strong knowledge of medical terminology, healthcare procedures and insurance processes.

* Strong customer service support skills.

* Excellent interpersonal, teamwork and communication skills - verbal & written.

* Good listening skills, good grammar and good reading comprehension.

* Punctual, reliable, hardworking, well organized, professional and detail orientated.

* Ability to problem solve and make decisions quickly.

* Knowledge of insurance claims Worker's Compensation, No Fault.
