Job Description:

This position supervises guest services activities with primary responsibility including leading, directing, training, and coaching staff; greeting guests while fulfilling check in, check out, and other guest needs; making and confirming reservations; answering inquiries pertaining to Hotel services, as well as shopping, dining, and entertainment options within the area.

ESSENTIAL DUTIES AND RESPONSIBILITIES

* Greets guests while fulfilling registration check in, check out, and any other guest needs or requests.

* Reviews daily arrivals list, group resumes, and oversees/arranges any special requests; Ensures prompt and accurate handling of guest mail, messages, packages, faxes, etc.

* Communicates and coordinates with the Reservations department regarding incoming reservations, room inventory control, over booking, relocation of guests, walk-ins, special assignments, and requests.

* Coordinates with Housekeeping on guest room availability and sales to avoid inaccurate postings due to discrepancies, unauthorized room use, late checkouts, and stay-over rooms.

* Follows room availability and rate parameters established in PMS system; makes and confirms reservations and has thorough knowledge of guest room types, locations, amenities, and pricing. Changes and/or cancels reservations as directed by guests. Notes changes made and cancellation reasons accurately.

* Works closely with the Sales Department in processing group reservations and special requests.

* Assists in the coverage of open shifts and hours for the Guest Services Department whenever necessary to ensure guest's needs are consistently anticipated, met, and exceeded, including Front Desk, Concierge and Night Audit. Completes daily checklist and runs appropriate PMS reports.

* Follows cash handling and PCI compliance procedures set by Accounting; Correctly posts charges to accounts. Computes bill, collects payment, and makes change for guests, following the Hotel's credit policy.

* Investigates, resolves, and responds to guests' needs and comments as necessary.

* Leads and directs guest service staff; coordinates, trains, and monitors performance; provides organization, instruction, guidance, and communication.

* Assists with administrative duties needed to perform job functions as required (e.g., staff schedule, payroll, work orders, etc.); assists in conducting daily, monthly, and quarterly inventories.

* Complies with all company, local, state, and national regulations pertaining to service and safety.

* Completes all other duties as assigned.

Qualifications

MINIMUM REQUIREMENTS

* At least 1-year related experience and/or training in a hotel or lodging environment.

* Availability to work nights and weekends as needed.

* While performing the duties of this job, the employee is regularly required to position self to move about.

* The employee frequently is required to operate and use tools and equipment; and communicate with guests, employees, and management.

* The employee must move up to 20 pounds frequently.

* Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
