Job Responsibilities

With our Agency's mission to support the recovery of people with mental illnesses, we provide a complete array of medical and support services for children, adults, and families throughout South Carolina.

This position is located at the Department of Mental Health, Coastal Empire Community Mental Health Center, 1050 Ribaut Rd., Beaufort, SC 29902.

1. Scheduling: Responsible for centralized scheduling for service providers in the Beaufort Clinic including psychiatrists, nurse practitioners, clinicians, and other service staff as directed. Makes reminder calls and cancellation/rescheduling calls as directed/appropriate.

2. Administrative: Completes/Processes patient intakes. Answers phones and directs calls. Collects and distributes mail, faxes and all correspondence. Creates and mails client correspondence as requested/directed. Maintains office equipment and office inventory. Provides general clerical tasks in support of clinical work (correspondence, scheduling/rescheduling, reports, etc. as appropriate/directed). Manages and ensures required annual EMR record information is recorded and electronic signatures are captured.

3. Financial: Manages annual client financial reviews, batches and routes all accounts receivables, updates daily cash log, update CIS, completes all ticket corrections including charges and paybacks, maintains and posts financial data to ledgers, collects payments, and completes deposit transactions daily. Addresses account balances with patients and encourages patients to make payments on account. Updates client's payment information including any insurance information at each visit as appropriate/needed and at the official annual requirement.

4.Support of telehealth services: Communicates with telehealth staff. Coordinates service between patient and service staff. Gathers required patient information required for service and relays information to providing staff. Provides support to off-site telehealth staff.

5. Support Staff Team Coverage: Cross trains in all support staff duties and performs duties of all administrative specialist positions in absence of other support staff related to lunch schedules and any type of leave.

6. Office management: Oversight and management of physical office space and lobby area. Monitors and assures required signage is posted professionally/appropriately.

7. Other duties as assigned.

Minimum and Additional Requirements

State Minimum Requirements: HS diploma. Related clerical experience may be substituted for a HS diploma.

Agency (Facility) Minimum Requirements: HS diploma and 2 years of clerical experience; or associate degree in secretarial science or other related field; or 3 years of clerical experience.

Preferred Qualifications

Bilingual abilities in English and Spanish (or another language) are a plus.
