By focusing on the needs of the patients as well as the partners we serve, The Center for Wound Healing & Hyperbaric Medicine is able to bring advanced wound healing strategies to many communities around the country.Job Overview at Center for Wound Healing & Hyperbaric Medicine LLC:As an integral player on the multi-disciplinary clinical team, you will be responsible for the day to day operations and supervision of the Wound Care and Hyperbaric programs. Responsibilities include, but are not limited to, clinical support for physicians, patient scheduling and clinic workflow, assisting the Program Director with scheduling of staff and physicians, management support, wound and hyperbaric documentation and outcome data, and assisting in the overall program success. This position works as the clinic receptionist as well, including registering patients, checking in patients, answering phones, and greeting visitors.Essential Responsibilities:
- Responsible for the day-to-day supervision and coordination of wound care and hyperbaric staff/patients. Includes, but not limited to, timesheets, patient transportation, charge entry, and insurance and billing documentation.
- Ensure complete and accurate records pertaining to the indications, rationale and progress of the patient treatments utilizing both hospital forms and company software. Work with Nurse Manager to evaluate effectiveness of plan/of care and modifies, as appropriate.
- Maintain communication with referring providers - physicians, podiatrists, nursing home, homecare agencies, etc.
- Oversee appropriate patient discharge, follow up and onward referrals. Oversee adherence of patient care protocols for both Wound care and Hyperbaric treatments.
- Develops and monitors quality assurance and patient satisfaction protocols in conjunction with Hospital guidelines and Nurse Case Manager. Submit and deliver reports as required.
- Supports Program Director/Area Director with sales and marketing initiatives.
- Assists management with staff scheduling.
- Support management with personnel duties such as: providing feedback to Area/Program/Assistant Director on the evaluation of all personnel; participate in the hiring and training of new personnel; monitoring personnel hours; ensure compliance to all hospital policies and procedures relating to orientations, evaluations, safety program and infection control; etc.
- Appropriately assign/delegate patient care activities based upon the employee's competency, expertise, job responsibilities, and patient needs.
- Appropriate use of hospital resources, including ordering of supplies and equipment.
- Management of daily statistical data
- Entering of daily facility/professional charges where applicable.
- Practices effective conflict resolution.
- Assists Area/Program Director/Assistant and Nurse Case Manager with direct reports in conjunction with the CFWH and hospital HR departments, which includes employee handbooks, policies and procedures, dress code, etc.
- Assist human resources with gathering employee information as required.
- Assists with ensuring competencies, and mandatory training, are current for all clinical staff.
- Foster open communication and teamwork between staff and physician panel.
- Assist with monitoring of patient information that is entered into the electronic health record.
- Assist and contribute in creating action plans for clinical or process improvements.
- Exhibit commitment to quality as defined by company and hospital partner's mission and vision, the Joint Commission, and/or UHMS for certification requirements. Maintain goals in highest level of quality and safety at each center.
- Other duties as assigned.
Required Qualifications for This Role Include:
- Associate degree in healthcare or related field of study preferred.
- 2+ years of experience in office manager role required. Outpatient clinic preferred.
- Patient Scheduling and Insurance Verification experience highly desirable.
- Valid BLS certificate from the American Heart Association.
- Must possess the ability to carry out detailed written or verbal instructions independently.
- Must possess the ability to multitask.
- Proficient in Microsoft Office: Word, Excel, PowerPoint, Outlook.
- Previous experience with hospital registration software and data entry highly desirable.
- Strong verbal and written communication skills.
- Positive background check, negative drug screen, and hospital credentials (as needed) required.
Travel:
- This position may require light ground and/or air travel.
Physical Demands:
- The physical demands described are representative of those that must be met by a Front Office Coordinator to successfully perform the essential competencies, duties, and requirements of this position. These include standing, walking, driving, lifting up to 50 pounds and sitting for extended periods of time. In addition, pushing, pulling, stooping, squatting and shifting heavy objects, as well as air travel, may be required. Employees should ask for assistance if needed.
