Front Office CoordinatorThe Center for Wound Healing & Hyperbaric Medicine, LLC (CFWH) provides management and consulting services to healthcare providers in the area of wound care and hyperbaric medicine. By focusing on the needs of the patients as well as the partners we serve, The Center for Wound Healing & Hyperbaric Medicine, LLC is able to bring advanced wound healing strategies to many communities around the country.Our Core Values: Compassion, Excellence, Passionate, Integrity, Dedication, Loyalty, Accountability, Enterprising.Job Overview:The Front Office Coordinator responsibilities include, but are not limited to, clinical support for physicians, patient scheduling and clinic workflow, assisting the Program Director with scheduling of staff and physicians, management support, wound and hyperbaric documentation and outcome data, and assisting in the overall program success. This position works as the clinic receptionist as well, including registering patients, checking in patients, answering phones, and greeting visitors.What You'll be Doing:
  • Responsible for supporting the clinic manager with day-to-day supervision and coordination of staff and patients. Includes, but not limited to, timesheets, patient transportation, charge entry, and insurance and billing documentation.
  • Ensure complete and accurate records pertaining to the indications, rationale and progress of the patient treatments utilizing both hospital forms and company software. Work with Nurse Manager to evaluate effectiveness of plan/of care and modifies, as appropriate.
  • Maintain communication with referring providers - physicians, podiatrists, nursing home, homecare agencies, etc.
  • Oversee appropriate patient discharge, follow up and onward referrals. Oversee adherence of patient care protocols for both Wound care and Hyperbaric treatments.
  • Develops and monitors quality assurance and patient satisfaction protocols in conjunction with Hospital guidelines and Nurse Case Manager. Submit and deliver reports as required.
  • Supports manager with sales and marketing initiatives.
  • Assists management with staff scheduling.
  • Support management with personnel duties such as: providing feedback to manager on the evaluation of all personnel; monitoring personnel hours; ensure compliance to all hospital policies and procedures relating to orientations, evaluations, safety program and infection control; etc.
  • Appropriately assign/delegate patient care activities based upon the employee's competency, expertise, job responsibilities, and patient needs.
  • Appropriate use of hospital resources, including ordering of supplies and equipment.
  • Entering of daily facility and professional charges where applicable.
  • Assists manager enforcing CFWH and hospital policies and procedures, which includes the employee handbook, dress code, etc.
  • Assist human resources with gathering employee information as required.
  • Assists with ensuring competencies, and mandatory training, are current for all clinical staff.
  • Assist with monitoring of patient information that is entered into the electronic health record.
  • Consistently adheres to company, hospital, and accrediting body clinical, safety, and compliance standards.
  • Ensures compliance with the Health Insurance Portability and Accountability Act (HIPAA) by safeguarding patient information and maintaining the highest level of confidentiality standards.
  • May be responsible for participating in the onboarding and training of new team members.
  • Other duties as assigned.
Requirements for This Role:
  • High school diploma or GED required.
  • Current Basic Life Support (BLS) from approved agency.
  • 1+ years of experience in receptionist type role in medical clinic required.
  • Patient Scheduling and Insurance Verification experience required.
  • Proficient in Microsoft Office or related systems.
  • Strong verbal and written communication skills.
  • Ability to treat others with compassion and patience.
  • Ability to work in a fast-paced team-oriented environment.
  • Must possess excellent interpersonal skills.
  • All employees are required to comply with HIPAA policies and procedures.
Desired Qualifications for this Role:
  • Outpatient clinic preferred.
Travel:This position may require light ground and/or air travel.Physical Demands:The physical demands described are representative of those that must be met by a Front Office Coordinator to successfully perform the essential competencies, duties, and requirements of this position. These include standing, walking, driving, lifting up to 50 pounds and sitting for extended periods of time and looking at a computer screen for extended periods of time. In addition, pushing, pulling, stooping, squatting and shifting heavy objects, as well as air travel, may be required. Employees should ask for assistance if needed.
