Position Type: Secretarial/ClericalDate Posted: 12/5/2024Location: Byron Elementary SchoolDate Available: January 2025Closing Date: Until FilledJOB TITLE: FTE Clerk SITE: Byron Elementary School RETIREMENT: TRS WORK YEAR: 200 day POSITION SUMMARY: Provides assistance and support in the maintenance structure and processing of data necessary to facilitate proper scheduling, updating, and monitoring of student records. In addition, provides office services by implementing administrative systems, procedures, and policies as well as monitoring administrative projects. RESPONSIBILITIES:
- Ensures confidentiality and security of all student and staff information maintained in student information systems
- Performs a variety of technical tasks to maintain the Student Information System, to include:
- Enrollment of new students: all data entry of demographics, addresses, general information, emergency/medical, FTE segment information, CO1 information, special education (if applicable)
- Withdraws students: withdraws the student from Infinite Campus, prints withdrawal forms and reports for parent or new school
- Schedules teachers/students: data entry of all teacher/student schedules; makes ongoing necessary changes to ensure accuracy of teacher/student schedules; prints necessary reports for the teacher/student
- Student records: keeps all student records up to date in Infinite Campus, enters transfer grades from schools outside of county, makes corrections or changes as needed, enters special education programs, and prints reports as needed or requested
- Report Cards/Progress Reports: sets up report card/progress report and teacher comments in Infinite Campus, prints verification reports and report cards/progress reports and makes any necessary changes to grades after they are stored historically.
- End of Year Processing: enters promotion/retention status of students, years/terms and calendar for the next school year, updates or changes course numbers, withdraws/enrolls faculty and staff for new school year, and prints necessary reports
- Imports Georgia Testing Identifiers on a regular basis to ensure assignment for each student
- Works closely with the principal and data team members to ensure accuracy on all state and federal reporting based on Department of Education guidelines
- Ensures accuracy and integrity of students/staff data through the use of various queries by continually editing and updating data
- Creates and runs queries and creates/prints various reports for school use as requested by administrators
- Provides office and clerical support to assist with the efficient operation of the school front office
- Demonstrate ethical behavior and confidentiality of information about students in the school environment and community
- Performs other duties as assigned by the principal and/or their designee

Ability to handle minor student problems and work with students, parents, and staff members Must be proficient in Microsoft Office Knowledge of basic office procedures Ability to handle confidential information Ability to compose and compile correspondence from a variety of sources Must be able to work effectively with District and school personnel, parents, and students Ability to work with minimal supervision Must be detailed and task oriented Excellent organizational skills and customer service skills Excellent written and verbal communications skills MINIMUM REQUIREMENTS:
- Minimum of high school diploma or GED
- Acceptable criminal background check
- Minimum of 2 years clerical experience required, including experience in data processing
