We are excited to bring together the best team in the business to help continue our mission of Raising the Standard in the Special Events Industry!Summary: As a Full Charge Bookkeeper, you will be responsible for managing all aspects of accounting operations, including accounts receivable, accounts payable, and general accounting duties. This role requires a high level of proficiency in QuickBooks Desktop and adherence to Generally Accepted Accounting Principles (GAAP). You will play a crucial role in ensuring accurate financial record-keeping, timely payments and receivables, and effective communication with both customers and vendors.Responsibilities:Accounts Receivable:
  • Generate and send invoices to customers using QuickBooks.
  • Follow up with customers to resolve payment discrepancies and answer queries.
  • Conduct collections calls to ensure timely payment.
  • Verify and reconcile source documents such as invoices and receipts.
  • Maintain accurate aging reports for accounts receivable.
  • Post payments received accurately to customer accounts.
  • Prepare and send customer statements as needed.
Accounts Payable:
  • Schedule payments and process invoices for payment using correct GL codes and class allocations in QuickBooks.
  • Communicate with vendors regarding account discrepancies, credits, credit limits, and payment terms.
  • Review and reconcile vendor accounts to ensure accuracy.
  • Maintain and audit company credit card usage.
  • Prepare and maintain accurate aging reports for accounts payable.
General Accounting:
  • Perform bank reconciliations to ensure all transactions are accounted for.
  • Reconcile company credit card statements.
  • Create and post accurate general journal entries.
  • Demonstrate a basic understanding of GAAP accounting principles.
  • Utilize advanced features of QuickBooks for efficient financial management.
  • Maintain organized documentation in SharePoint or similar platforms for easy access.
Additional Responsibilities:
  • Collaborate effectively with team members to achieve departmental goals.
  • Prioritize tasks in a deadline-driven environment to ensure timely completion of financial activities.
  • Learn and effectively use additional platforms such as Hire Track, Quote Works, and Stampli as required.
  • Adhere to company policies and procedures related to financial operations.
  • Continuously seek opportunities to improve processes and efficiency within the accounting function.
Qualifications:
  • Bachelor's degree in accounting or a related field preferred.
  • Minimum of 5 years of experience in accounting roles, with a focus on full cycle accounting.
  • Extensive experience (at least 5 years) using QuickBooks Desktop for financial management.
  • Strong understanding of GAAP accounting principles.
  • Proficiency in Microsoft Excel for financial analysis and reporting.
  • Excellent verbal and written communication skills, with the ability to interact professionally with customers, vendors, and team members.
  • Proven ability to work independently and as part of a team, demonstrating initiative and proactive problem-solving skills.
Preferred Skills:
  • Certification such as CPA or CPB (Certified Public Bookkeeper).
  • Experience with payroll processing and related tax filings.
  • Familiarity with industry-specific software or ERP systems.
  • Ability to adapt quickly to changes in technology and accounting standards.
Physical Requirements:
  • Stationary position work that primarily involves sitting & standing.
