Full-time entry level Admin/Legal Assistant
Attorney with practice exclusive to employer-sponsored and family-sponsored immigration cases has an opening for a full-time Admin/Legal Assistant to join her team. Must have a positive attitude and enthusiasm to learn new things. Provide a high level of customer service and ensure timely responses and client satisfaction at all times. Attention to detail and ability to prioritize multiple tasks a must.
- Perform light bookkeeping tasks including utilizing QuickBooks to invoice clients, write checks, monitor accounts that are past due, match online bank transactions, match third-party payments.
- Drafting fee agreements using templates in MS Word.
- Help review billing policies and templates to ensure accuracy and consistency.
· Help to administer benefits programs.
- Track software licensing and insurance policies
· Update blog posts for immigration news.
- Follow standard procedures to create, maintain, and close client case files.
- Under direction of the attorney and senior legal assistant, correspond with clients to timely send questionnaires and checklists on immigration cases.
- Receive and maintain client document uploads follow standard protocols. Maintain physical and electronic records in a neat, orderly and complete manner.
- Enter client data into online portals or immigration software.
- Generate and collate forms, documents and cover letters to US Immigration.
- Prepare, submit, and track delivery of case files in physical or electronic format.
- Correspond with clients via phone, email, zoom, or in person to request documents. Bring questions, concerns, issues with cases to attorney attention and ensure monitoring and timely resolution.
Qualifications
- Attention to detail a must
- Proficiency in Microsoft Office suite
- Ability to work independently but also collaborate and seek guidance as needed.
- Proven time management skills and ability to prioritize workload in order to meet deadlines
- QuickBooks and basic accounting knowledge
Preferred
- Bachelor's degree
- Previous office experience
- Knowledge or interest in US Immigration law or similar administrative field.
Position to be based physically in-office at our Boston (West Roxbury district) location for first three months. After probationary period remote flexibility for a maximum two days per week will be considered.
