The ideal candidate will be responsible for a range of activities. You should feel comfortable with house and property management, managing house team, contractors, coordinating calendar appointments, booking travel, managing communications, child care, pet care, and planning events as necessary.

Qualifications

  • Self starter and self sufficient who is able to foresee and plan ahead
  • Must live in Los Angeles area and willing to drive as needed (Family located in Topanga)
  • House and property management experience (Airbnb management experience)
  • Must have previous personal assisting experience or project management (or similar)
  • Must have a reliable and insured vehicle
  • Must have experience with nannying or child care (must love children)
  • Must love pets and be open to assisting with pet care as needed
  • Ability to handle multiple tasks while staying organized
  • Ability to perform onsite tasks, offsite tasks, and remote work
  • Ability to travel (this will be rare, but may be needed from time to time)
  • skilled at finding vendors with talent such as swim teachers, plumbers, etc

We have an immediate need for a full-time family assistant in Topanga, CA. This will be a full-time employment opportunity with the ability to earn benefits after the probation period. You must have a very flexible schedule and the role will be a mix of duties in the home, running errands, and virtual tasks. The ideal candidate must have a reliable vehicle with insurance and be very comfortable with driving.

You will be assisting a family located in Topanga, CA. The family is very grounded, positive, and down to earth and looking for someone who is experienced, self-sufficient, very organized, and can meet all deadlines and expectations with open communication and follow through. They also have Airbnb properties, and managing these properties is a part of this role. Experience with Airbnb or house management is expected. You will earn extra commissions on each Airbnb stay for the house management.

Beyond that, you will be managing the needs of their three properties that the family lives between such as housekeepers, chef, nanny, contractors, and other support.

Tasks & Responsibilities:

  • Manage schedules, both personal and business. This includes sending a daily schedule email every morning M-F, and EOD summary email.
  • Make all appointments and coordinate all details for the family, and business gatherings. This includes; personal appointments, business appointments and podcast recordings, personal & business reservations, personal and business travel reservations and needs, personal gatherings thrown at the home, family health appointments, and coordinating contractors and staff for home and property.
  • Assisting with mail and returns, unboxing deliveries, selling clothes, running errands, getting groceries, dry cleaning, selling items on craigslist, etc. This also includes overseeing orders all the way through -- personal and business items, home items / repairs.
  • Must love and get along with animals. The family has multiple dogs, barn cats, chickens, bunnies, and donkeys. Coordinating and taking pets to vet appointments, pet grooming and pet care. Also, help with pet sitting and walks when the owner and family are away. They also have a non-profit that assists networking animals on the euth list that you will assist with such as instagram or transportation when needed.
  • Manage house teams for properties in Topanga, Mariposa, and Mendocino. This includes: Coordinating all needs for homes, managing building contractors and maintenance, scheduling, assisting with budget tracking, relaying status and updates. Weekly coordination of the housekeeper, nanny, contractors, finding help when services are needed and coordinating/directing them such as plumbers, electricians, gardeners, housekeepers / cleaners, etc. In charge of coordinating estimates and payouts accordingly. Manage all utilities and ensure everything is set up to auto-pay. This includes checking in and resolving when there is an issue, etc. Also, there may be help needed with overall organization on the properties.
  • Managing all house and pet inventory and supplies. And often organizing the house such as cupboards, linen closets, closets, office, shelves etc. must be exceptional at organizing, decluttering, and being able to manage the inventory of house products, pet supplies and groceries.
  • Managing each of their properties' needs.
  • Booking and coordinating all travel for the family and house teams, and dropping off and picking up from the airport.
  • All car needs. Taking cars to get serviced or taking to the mechanics when needed.
  • This is an ever changing role and there may be new projects or priorities that arise. This list encompasses the main duties that may be asked of you.
  • Please Note: These are all examples of tasks that may be assigned to you or that you could self sufficiently take on during slow periods — this role ebbs and flows based on the family's needs.

Experience & Requirements: *indicates required experience to apply

  • Travel Coordination*
  • Ideally you don't have pets as you will be pet sitting while family is away.
  • 1-3 years of personal assisting experience or project / production management experience
  • Extremely detail oriented, organized, and able to problem solve*
  • Great with young children (previous nannying experience preferred)
  • Great with animals*
  • Great at managing staff + communication
  • Great at strategy, solution, and following up on status and relaying updates*
  • Knowledge of healthy, organic foods and cooking
  • Must have car and auto insurance*
  • Positive can-do attitude*
  • Must live in LA area, preferably westside due to errands weekly*
  • Must have a very flexible schedule to stay for animal care when family travels*
  • Family is located in Topanga so must live close enough to run errands often throughout the week*
  • Must be good at decluttering and organizing*

Compensation and Benefits

  • $6,000 monthly salary
