- Successful previous accounting experience utilizing the skills required of this position

- Bachelor's Degree in Business, Accounting, Finance, Economics or a field related to the position.

- Familiarity with the operation of a computer system and the input of data into said system.
- Familiarity with the investment of school district funds.
- Ability to secure bonding .
- Ability to make daily decisions regarding financial matters and recommend district budget planning scenarios to the superintendent.
- Such alternatives to the above qualifications as the Board may find appropriate acceptable.
Responsibilities Include:
- General typing and secretarial duties (screening calls, transferring calls, responding to inquiries and/or taking messages) to assist administration
- Receive, welcome, and register all visitors
- Evaluates situations and inquires (e.g. involving other staff, students, parents, public, etc) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Prepare all ISBE forms and reports (Expenditure Reports, Health, Discipline, etc) assigned and by deadlines
- Maintain and file disciplinary referrals in student files and SIS
- Maintain monetary records for all home athletic events, setting up money box and ticket sales form
- Prepares deposit slips and takes deposits to bank, writes checks, obtain appropriate signature, count and verify money for various activities
- Maintain checking accounts, reconciles accounts with bank statements, and submits documentation for reimbursement.
- Maintain and reconcile other fund accounts; record cash received and issues receipts; maintain petty cash account
- Receipt checks received by mail and pay bills
- Post receipts and expenditures to proper accounts
- Maintain student financial records. Receive and post fines and fee payments. Send letter concerning fines owed.
- Prepare annual budget and submit to ISBE
- Prepare for annual financial audit; meet with auditors as necessary to provide records, information and explanations.
- Compiles financial information related to school site (e.g. accounts payable/receivables, collecting, verifying, depositing all monies collected, write receipts, payroll) for the purposes of providing required documents and/or processing information.
- Process financial information (e.g. all POs, accounts payable, payments for officials, etc.) for the purpose of updating and distributing information, authorizing for action and/or compiling with established accounting procedures. Maintain PO records; communicate with vendors concerning PO, receives supplies and verifies against PO, process invoices for payment.
- Research discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and adhering to established procedures prior to processing.
- Respond to inquiries of staff and administration regarding financial procedures for the purpose of providing information, direction and/or referral for addressing inquiry.
- Prepare and distribute all payroll related checks and reports, including but not limited to, tax forms, insurances, union dues, unemployment, 403B, AFLAC, etc.
- Maintain assigned district grants, reconcile and claim monies
- Coordinate for AFLAC representatives to be available during July teacher Inservice and inform all staff
- Process and maintain Worker's Compensation and Unemployment issues
- Attend school board meetings
- Prepare employment contracts
- Assist administration in regards to teacher negotiations, grievances
- Assist administration with personnel issues, FMLA, etc.
- Coordinate district health insurance
- Ensure that accounting procedures as established by the district are followed.
- Attend to outgoing mail for postage, check in UPS, FedEx, etc. and distribute daily mail
- Prepare board packet, deliver to board members and send out for publication
- Prepare and mail tax levy certification
- Maintain assigned school personnel records: sick, vacation and personnel time off records
- Secure substitute teachers (and bus driver when applicable)
- Assist in maintenance of student files
- Handle transfer-out students requesting records and sending out records to the school the student transfers to
- Maintain bus route listing and accurate mileage for ISBE transportation report
- Be familiar with and follow all FERPA (Family Educational Rights & Privacy Act) and HIPPA (Health Insurance Portability and Accountability Act)
- Participate in meetings, in-service training, workshops, etc. for the purpose of conveying and/or gathering information required to perform job.
STARTING SALARY $53,000-$61,000. DEPENDANT UPON EXPERIENCE.
