Dedham High School has an immediate opening for a Full Time Secretary:Job Title: High School Guidance Department SecretaryResponsible to: High School PrincipalEvaluated by: High School PrincipalWork Year: Full YearPrimary Functions: Assist high school guidance counselors and ensure the efficient and high-quality running of the guidance department office by:
  • overseeing the planning, organization, and operation of the office
  • maintaining efficient systems and processes
  • interacting with school and district staff, students, and parents
Qualifications
  • Ability to speak Spanish preferred
  • High School diploma or equivalent; Associate's Degree or higher preferred
  • One (1) year of general office experience
  • Strong computer skills - proficient in Microsoft Office (Word, Excel. PowerPoint, Publisher, Outlook); Google Suite, PowerSchool (or other student information system), MUNIS experience a plus
  • Strong human relation skills - position will involve consistent contact and interaction with administrators, co-workers, parents, and community members
  • Highly motivated with strong organizational skills; able to coordinate multiple tasks simultaneously
  • Able to carry out procedures involving multiple components and people
  • Able to operate computers, peripheral computer equipment, photocopier, fax machine, and other office equipment with a high degree of skill
  • Highly accurate with numbers
  • Excellent attention to details
  • Flexible, punctual, and comfortable working in a fast-paced environment
  • Experience working in a school setting is preferred
Essential Job Functions
  • Maintain efficient office procedures and a system for keeping track of requested actions and reports
  • Perform general secretarial tasks including, but not limited to, producing letters, reports, memorandums, etc., photocopying, filing, distribution of mail, etc.
  • Answer telephone calls and record messages
  • Monitor all aspects of guidance service for student population, including but not limited to schedules, and scheduling appointments for guidance counselors, and scheduling parent meetings
  • Communicate in a positive and effective manner with staff, students, parents, and/or visitors
  • Responsible for the registration and transfer of students at the high school level
  • Manages the scholarship coordination efforts between the sponsors and the Scholarship Committee.
  • Performs other duties as assigned
