Position Overview:

The Group Tour Coordinator - Operations will play a crucial role in managing and executing group tours, ensuring seamless operations from planning through execution. This position requires a detail-oriented individual with excellent organizational and communication skills who can handle multiple tasks and provide outstanding customer service to our clients. As a small family business, we value flexibility and a proactive attitude in tackling various tasks that arise.

Key Responsibilities:

Tour Planning & Coordination:

  • Collaborate with company Salesperson and/or clients to understand their educational travel needs and preferences.
  • Review finalized trip proposals to further solidify tour itineraries based on client requirements, budget constraints, and educational objectives.
  • Coordinate with vendors, including hotels, transportation providers, restaurants and tour guides, to secure and confirm bookings.

Operational Management:

  • Oversee day-to-day operations of tours, ensuring all logistics are executed as planned.
  • Prepare and distribute detailed itineraries, travel documents, and other required materials to clients and tour guides.
  • Address and resolve any issues or disruptions that arise during tours promptly and effectively, during business hours and after-hours.

Customer Service:

  • Serve as the primary point of contact for clients before, during, and after tours.
  • Provide exceptional customer service and support, handling inquiries, feedback, and complaints with professionalism.
  • Collect and analyze client feedback to continuously improve tour experiences.

Administrative Duties:

  • Maintain accurate records of bookings, payments, client invoices, and correspondence.
  • Document tour performance, client satisfaction, and operational efficiency to improve future tour experiences.
  • Assist with budget management, including tracking expenses and reconciling invoices.

Team Collaboration:

  • Work closely with other team members, including sales/marketing, proposal writing, and operations, to ensure cohesive tour planning and execution.
  • Participate in team meetings to discuss operational challenges, improvements, and best practices.

Qualifications:

  • Bachelors degree in Business Administration, Tourism Management, Education, or a related field.
  • Proven experience in tour coordination, event planning, or a similar role, preferably in the travel or education sector.
  • Strong organizational and multitasking abilities, with a keen eye for detail.
  • Excellent communication skills, both written and verbal, with the ability to interact effectively with clients and vendors.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and tour management software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Flexibility to travel and work irregular hours as needed.
