Job Description:

Built in 1915, the Paramount Theatre (1300 seats and 180+ shows a year) has served Austin for more than a century. It stands next door to the State Theatre (300 seats and 120+ shows per year), constructed in 1935. Together, as the Austin Theatre Alliance, these spaces are acoustically more intimate, visually more appealing, and historically more significant than just about any other theatre in the region. Both are contributing structures to the Congress Avenue National Historic District, and the Paramount Theatre is listed on the National Register of Historic Places. The theatres continue to serve as anchors in the downtown area for performing arts events. The Paramount and State are the annual home to SXSW Film Festival, ATX Television Festival, and Paramount Summer Classic Film Series (total of 300+ film screenings) and many outreach programs. Additionally, we own and produce the annual two-week Moontower JFL Austin Comedy Festival (11 days, 150+ comics, 170+ shows, 12 venues). Each year, more than 275,000 people pass through our doors to attend live performing arts events and films.

About the Position

Reporting to our Chief Development Officer and our Senior Director of Finance, this role manages all aspects of revenue accounting, processing, and reporting for the annual and special campaign fundraising with the development department. Daily tasks include input of financial donations, printing corresponding receipts to individual donors and processing all credit card and EFT donations.

This position holds a pivotal role in orchestrating the financial management of the organization's programs. This role is responsible for ensuring the processing and managing the organization's financial transactions, reporting and budgeting align from the development database with the financial system. The employee in this position will work independently, communicate with colleagues and donors effectively, and manage multiple documents and tasks simultaneously.

Responsibilities

Financial Analysis and Reporting

  • Analyzes and measures monthly budget vs. actual totals and ensures Tessitura totals match finance department totals for Annual Fund and Special Campaign.
  • Tracks pledges, payments, and recurring gift schedules to ensure operational efficiency and increased productivity.
  • Reconciles daily gift entries with accounting, banking, and donor portal records, while providing necessary documentation for financial reporting.
  • Prepares reports to track upcoming issues with recurring donor files, such as expiring credit cards, late pledge payments, etc.
  • Tracks campaign costs and ROI assessments using Tessitura and the finance department's system.

Donor Recognition and Data Management

  • Oversees the creation, review, and finalization of donor recognition lists, including the Annual Report and online listings.
  • Supports data hygiene projects.
  • Manages and runs wealth and prospect screening research and regular NCOA updates to ensure strong donor data in collaboration with Senior Director of Analytics, DBA.

Campaign and Budget Management

  • Provides campaign summary reports, year-over-year analysis, and other analytics to inform data-driven decision-making.
  • Provides budget oversight, monitoring, and analyzing expense spending.
  • Works with the Finance department to troubleshoot budget issues.
  • Assists with tracking and reporting development projects and campaigns, including direct mail, email, and online fundraising initiatives.

Donor Engagement and Administrative Support

  • Assists in managing donor segmentation and targeting efforts to enhance engagement and giving.
  • Supports team members with administrative tasks and special projects as needed.

Requirements

  • Minimum of 2 years of experience in financial/accounting record tracking and coding required.
  • Bachelor's degree in related field.
  • Experience working in a nonprofit development or related role strongly preferred.
  • Proficiency in fundraising software and/or CRM systems (experience with Tessitura preferred).
  • Strong attention to detail and accuracy in data entry and management.
  • Excellent organizational and time management skills, with the ability to prioritize and handle multiple tasks.
  • Ability to work well in a fast-paced environment and multitask without sacrificing work quality.
  • Demonstrated success in working remotely, including being self-motivated, taking initiative, resisting distractions, and managing time responsibly.
  • Consistently works the hours necessary to meet the demands of the position and achieve deliverables.
  • Ability to work both independently and collaboratively in a team environment.
  • Strong understanding of and dedication to cultural arts, preservation and Austin community is a plus.
