Moana Pacific condominiums in the heart of Honolulu seeks a dynamic General Manager to oversee the 24/7 operations of our stunning residential towers. If you have a passion for excellence, a knack for leadership, and a commitment to maintaining the highest standards, we want you on our team.

About Moana Pacific:

Moana Pacific (MP) is a 46-story, high-rise twin tower luxury condominium complex that was completed in 2007 in Honolulu. The complex occupies the entirety of a 6-acre block, featuring twin East and West towers with a total of 720 units with 1-bed to 4-bed floor plans and a 6th floor recreation deck between them. Moana Pacific is one of the largest and most high visibility condominium developments in Honolulu.

Qualifications:

  • A minimum of five+ years of successful large building community management experience or equivalent professional experience in a related field such as rental property or hotel management.
  • Strong leadership and team management skills.
  • Strong written and verbal communication skills. Must be an “active” listener who can anticipate issues and drive for mutually satisfactory resolution.
  • Basic understanding of the elevator, HVAC, electrical, piping, pump, fire, and security systems used in large residential buildings.
  • Good understanding of typical Homeowners Association's governing documents (e.g., CC&Rs, bylaws and rules and regulations), facility preventative maintenance and maintenance needs, financial statements and budgets, and best practices in contractor onboarding and relations (i.e., RFP creation, RFP vetting process, etc.)
  • Basic computer skills in using software tools such as Microsoft Office (Word, Excel, PowerPoint, Outlook, Publisher) or Google Workspace, and also, in using communication tools such as emails and video conferencing (e.g., Zoom, MS Teams or Google Meet.)
  • Knowledge of cloud-based storage systems. Knowledge of communication tools such as Slack.
  • Ability to track and monitor progress of project tasks. Service-oriented mindset with multi-tasking abilities and a flexible, resilient attitude. Can collaborate with the Board Directors and committee members.
  • Detail-oriented with a focus on safety and customer service.
  • Ability to handle emergency situations with calmness and efficiency.
  • A basic understanding of the mechanical, electrical, fire, and security systems typically found in large buildings.
  • CAI 200-level courses, along with certifications like CMCA, PCAM, and ARM are a plus.

Key Responsibilities/Essential Functions:

  • Supervision of staff: Oversee and direct the activities of site staff. Resolve personnel performance and disciplinary issues.
  • Critical Systems Failure and Crisis Management: Lead staff and resident response during emergency events. Update emergency response plans with advice received from community response agencies. Ensure all fire, life, and safety systems are operable and evacuation plans and emergency procedures are documented and understood by staff and residents.
  • Team Leadership: Recruit, hire, train, and supervise building staff. Evaluate staff performance, manage schedules, and resolve conflicts. Foster a culture of safety and excellence.
  • Budgeting and Finance: Work with the Board of Directors and Property Manager to stay within annual budgets. Work with the Facilities Engineer to make recommendations for the next budget cycle. Make recommendations for MP's Reserve Analysis for major repairs and/or replacements of the facility infrastructure' equipments and machineries and common areas.
  • Administration: Maintain required records and manage workflow from work orders to invoices, collaborating with support from external property management company.
  • Safety First: Arrange for safety training for employees and residents as required. Keep detailed files on Safety Data Sheets (SDS) for all chemicals and hazardous materials.
  • Rule Enforcement: Enforce house rules, address violations, and communicate disputes effectively with the Board of Directors and Property Manager.
  • Resident Relations: Address resident inquiries and concerns with professionalism and empathy. Communicate important updates and changes through various channels.
  • Building Maintenance: Work with the Facilities Engineer to develop and implement periodic building inspection schedules, to create and implement an effective preventative maintenance plan, prepare maintenance schedules, and ensure equipment manuals are up to date and secure.
  • Vendor Management: Provide appropriate safety indoctrinations to contractors and vendors before they begin work. Ensure that contractors and vendors comply with the terms of their service agreements. Review the completed work to make sure it meets expectations.
  • Project Management: Work with the Facilities Engineer to request proposals, outline project scopes, specifications and requirements, negotiate with contractors, and ensure projects are completed on time and within budget.
  • Homeowner Support: Meet with homeowners to address concerns and approve individual unit renovation requests. Forward unresolved issues to the appropriate levels for resolution.
  • Community Engagement: Attend monthly meetings and as otherwise scheduled with the Board of Directors, Property Manager, advisory committees, and homeowners. Provide comprehensive reports and stay informed about industry changes.

Physical Requirements:

  • Must be capable of accessing all areas of the buildings for inspections, including the rooftops and equipment rooms.
  • Must be able to sit, stand, and walk for extended periods.
  • Ability to communicate effectively both in person, in emails and on the phone.
  • Ability to work with inside and outside environmental elements (noise, weather, etc.)
  • Must be able to bend, climb, stoop, crawl, twist, walk, and use extremities.

Shift and Schedule:

Standard work days M-F. Available to contact after hours and on weekends. Arrangements must be made that either the General Manager or the Building Engineer be available when one is off-island. Hours over and above normal office hours will occur, including some evenings and some weekends.

Pay: $100,000.00 - $150,000.00 per year
