Posting Details Position Information Position Title Gift Processing & Data Specialist Position Summary The Gift Processing & Data Specialist is responsible for ensuring the accurate entry and management of gifts, pledges, and constituent records in the advancement database. The position will assist with the processing and receipting of all charitable gifts and ensure that all contributions are documented correctly and meet IRS rules, CASE standards and the guidelines established by the College. This position will manage the creation and updating of constituent records, process gifts and pledges, and support data integrity by preparing and cleaning data for uploads into the CRM. Additional duties include verifying donor information, troubleshooting gift discrepancies, and assisting with database maintenance. Essential Duties and Responsibilities
- Process and record gifts, pledges, and recurring donations into the CRM.
- Create and update constituent records, including demographic information and contribution details.
- Prepare data files for upload into the CRM, ensuring that data such as donor comments, gift designations, and other relevant fields are accurate and properly formatted. Clean data files to ensure that incorrect, duplicated, or incomplete information is corrected before entry into the system.
- Assist with maintaining data integrity and upkeeping the advancement database.
- Ensure accuracy and consistency in all gift processing and data entry tasks.
- Collaborate with other team members on various data-related tasks as needed.
- Must be available to work occasional nights and weekend.
Required Qualifications A bachelor's degree and three or more years of professional experience with database management and reporting tools are required, or an equivalent combination of education and/or experience. Experience with CRM Advance, Argos, Access, Crystal Reports, and other fundraising and reporting software is strongly preferred. Prior experience with fundraising databases and gift entry is also preferred. The employee must have excellent interpersonal skills and work well within a collaborative team environment. Attention to accuracy and detail and superior organization skills are required. Good oral communication and customer service skills are also required to interact with the division staff, donors, managers, and the general public. To perform this job successfully, an individual must have advanced skills using Microsoft Office Suite (Word, Excel, and PowerPoint). The employee must be proficient in using computers, e-mail, relational databases, and reporting tools.
