Job Description The Executive Administrative Assistant to the Director assists the Director of GLASS in all functions as needed. Responsibilities
- Assists with filing, answering phones, and other general secretarial duties
- Assists Director with maintaining and tracking budget, including assigning account numbers, and monitoring alf onto budget spreadsheet
- Assists with tracking, paying, and organizing all bills and grants
- Assist with the organization of legal files
- Processes and ensures accuracy for hiring paperwork
- Collects and processes mileage reimbursements
- Orders materials for GLASS staff and submits reimbursements
- Maintains and updates personnel information, including Board Rec approvals, leave requests and travel requests
- Processes purchase orders and requisitions
- Reviews and submits timecards for staff
- Assists with Veritime System
- Impromptu requests from GLASS Administrators
- Establishes monthly routine for budget reporting, residential reimbursements, employee appropriation report, inventory and ordering supplies, and mileage reimbursements
- Assists with Audits by organizing previous year records and creating necessary spreadsheets
- Notary public for GLASS staff/public
- Prepare legal announcements to run in Journal and Courier to announce Governing Board Meetings
- Tracks leases and contracts with entities and correspondence to get updates/signatures
- Assist with collecting necessary paperwork for contracted employees and maintains associated files
- Assist with monthly Psychologist, Specialist and Diagnostician logs
- Other duties as assigned by director
