Position Summary:
The Global HRIS Specialist is responsible for managing, maintaining, and optimizing the company's Human Resource Information Systems (HRIS). This role involves ensuring data accuracy, generating reports, and supporting HR operations through system enhancements and troubleshooting. The Global HRIS Specialist acts as a liaison between HR, IT, and other departments to implement solutions that improve efficiency and align with organizational objectives.
Essential Duties and Responsibilities:
The essential duties of the position include the following, and other duties may be assigned:
- HRIS Management:
- Administer and maintain the global HRIS platform, ensuring seamless integration with other enterprise systems (e.g., payroll, benefits, and performance management) and entering data and employee status changes into the HRIS system on a daily basis.
- Collaborate with HR, Payroll and IT teams to ensure HRIS is aligned with organizational needs and strategies.
- Ensure the HRIS is compliant with local, regional, and global regulations, including privacy and security standards.
- Provide troubleshooting, technical support, and HRIS system upgrades.
- Oversee the HRMS Intranet, HRIS compliance updates (e.g. monthly, quarterly and annually)
- Onboarding and Training:
- Develop and deliver comprehensive HRIS training for HR staff, managers, and new employees to ensure effective use of the system.
- Lead onboarding sessions for new hires, guiding them through HRIS processes related to benefits enrollment, time tracking, and performance management.
- Create user guides, manuals, and training materials for end-users to enhance adoption and usage of the HRIS system.
- Information Security Management (ISM) and Privacy:
- Ensure that all HRIS data is secure and compliant with internal ISM policies, as well as external privacy laws and government regulations.
- Collaborate with IT and security teams to implement data encryption, secure access protocols, and regular audits of the HRIS platform.
- Maintain an up-to-date understanding of privacy and data protection regulations such as GDPR, HIPAA, and other relevant government mandates.
- Ensure the HRIS complies with any specific privacy/security requirements related to government contracts and sensitive employee information.
- Compliance:
- Work with legal and compliance teams to ensure the HRIS platform adheres to contract requirements, including GDPR, security clearances, reporting, and audit standards.
- Support the integration of government-specific HRIS configurations, such as employee classification, compensation tracking, and compliance reporting.
- Reporting and Analytics:
- Generate and maintain HRIS reports to support HR decision-making, compliance audits, and operational analysis.
- Provide insights into employee data, including workforce trends, turnover rates, and other key performance indicators (KPIs).
- Collaboration with Stakeholders:
- Work cross-functionally with HR, IT, security, and compliance teams to ensure HRIS-related needs are met globally.
- Liaise with external vendors and contractors to troubleshoot HRIS-related issues or implement system updates and enhancements.

Education/Experience:
Required:
- Bachelor's degree in Human Resources, Information Technology, or a related field.
- 3+ years of experience working with HRIS systems, preferably in a global environment.
- Strong understanding of HR analytics/reporting, information security management (ISM) and privacy regulations.
- Experience in onboarding, training, and HRIS system implementation.
- Experience in working with large-scale HRIS/Payroll systems (e.g., Paychecks, ADP Workforce Now, Workday, HCM).
- Ability to communicate technical concepts to non-technical stakeholders effectively.
Preferred:
- Experience with government contractors, a plus.
- Knowledge of global HRIS practices and localization of HR systems for international operations, a plus.
Language Ability:
Excellent verbal and written communication skills to explain complex systems clearly.
Math Ability:
Strong numerical skills for analyzing HR metrics, payroll calculations, and system-generated data.
Reasoning Ability:
Analytical thinking and problem-solving skills to resolve technical issues and enhance system functionality. Attention to detail and critical thinking for identifying and rectifying data inconsistencies.
Computer Skills:
Advanced proficiency in HRIS platforms (e.g., Workday, SAP SuccessFactors, or similar). Strong skills in Microsoft Office, particularly Excel for data analysis and reporting. Familiarity with SQL, database management, and system integrations is preferred.
Certificates and Licenses:
PHR, or Certified Information Systems Security Professional (CISSP) or similar certification is preferred.
Travel:
This position does not require travel.
