Responsibilities may include administrative, clerical, or research-focused tasks.Reporting to the Executive Secretary to the Dean, this position specifically supports the Dean's Office with tasks related to fieldwork placements across various departments.Duties and Responsibilities:The duties and responsibilities include, but are not limited to, the following:
  • Assist in the preparation, organization, and maintenance of various administrative documents, ensuring accuracy and timely completion.
  • Provide confidential administrative assistance to faculty and staff, handling sensitive information with discretion and professionalism.
  • Open, organize, and update confidential student files, ensuring all documentation is accurate, complete, and compliant with institutional policies.
  • Answer telephone calls, direct inquiries, and greet visitors in the reception area, providing a professional and welcoming environment. Manage calendars, schedule appointments, and coordinate meetings for staff and faculty.
  • Regularly update the department's website and print materials, such as brochures and flowcharts. Assist in developing new content to improve communication and resource accessibility.
  • Coordinate and support the planning of training sessions, workshops, and other events, including booking venues, preparing materials, and maintaining records of attendance and outcomes.
  • Act as a primary point of contact for the Get Inclusive platform, ensuring new students complete required online training. Draft training communications, track completion, and follow-up as needed to ensure all students are in compliance.
  • Maintain an organized filing system for office documents, ensuring quick retrieval and systematic storage of both physical and digital records.
  • Assist with various administrative tasks and special projects assigned by the department, ensuring that all assignments are completed efficiently and within deadlines.

  • Excellent writing, communication and organizational skills.
  • Professional work ethic, the ability to work independently and as part of a team.
  • Strong critical thinking skills.
  • Comfortable with technology and proficient with Microsoft Office.
Knowledge and Skills:
  • Ability to follow instructions and communicate clearly, both verbally and in writing.
  • Aptitude to learn and implement new technologies, suggesting improvements to enhance efficiency in the role.
  • Strong problem-solving capabilities and technical expertise to address challenges effectively.
  • Demonstrated ability to manage tasks, prioritize duties, and maintain organization in a busy office environment.
  • Competent in operating standard office equipment (e.g., printers, copiers).
  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Ability to assess situations and recommend appropriate courses of action within established guidelines.
  • Strong interpersonal skills to build and maintain positive relationships with internal and external stakeholders, aligning resources to achieve university objectives.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Skilled in interacting with a culturally and ethnically diverse population of students, faculty, and staff.
Physical Requirements/Working Conditions:Working Conditions:Standard office setting. Duties performed are primarily in an office environment while sitting at a desk or computer workstation or in meetings. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position is defined as the Hiring Range.
