The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Department of Anesthesiology is an academic department at Columbia University Irving Medical Center focused on clinical, education, and research priorities with over 100 full-time faculty members and 140 trainees. Reporting to the Chief Financial Officer, the Grants & Contracts Manager is responsible for managing the administration of grants, sponsored projects, clinical trials and internal departmental grants, including budgets for the Department. Main responsibilities will include pre and post award management, with emphasis on grant submissions as well as some financial reconciliation, planning and projection across the assigned accounts in accordance with departmental processes.

Responsibilities

Working with the Department's Principal Investigators (PIs) and finance and administration team, responsibilities will include, but not be limited to:

Pre-Award Responsibilities:

  • Prepares government and non-government grant budgets and oversees the preparation and submission of materials for grants administration
  • Reviews grants for accuracy and completeness
  • Ensures grant applications are submitted in a timely manner
  • Clarifies issues related to submissions or expenditures with funding agencies
  • Informs PIs of changes affecting current or new submissions
  • Monitors grant information to identify grant opportunities that may be available to department faculty
  • Prepares budgets and modification letters to enable transfer of grants/contracts between PIs or other institutions when necessary
  • Ensures PIs request and submit no-cost grant extensions, renewals and progress reports on time
  • Performs other duties as assigned

Post-Award Responsibilities:

  • Processes and reviews grants with the Sponsored Projects Administration (SPA) and Sponsored Projects Finance (SPF) offices
  • Reviews and sets up subaward agreements
  • Reconciles and updates ARC sponsored funding accounts
  • Reviews changes from NIH and other funding agencies for policy changes and keeps up-to-date with regulations
  • Serves as liaison with Sponsored Projects Administration (SPA) and Sponsored Projects Finance (SPF) to ensure completion of financial status reports at the end of each budget year including preparation of reconciliation statements for funding agencies
  • Works with the Senior Grants & Contracts Manager on preparation of monthly reports on grant/contract revenues and expenses
  • Performs other duties as assigned

Minimum Qualifications

  • Requires a bachelor's degree or equivalent in education and experience, plus four years of related experience
  • NIH grants administration experience required, three or more years preferred
  • Strong analytical, organizational, and interpersonal skills required
  • Ability to use good judgment in handling confidential financial data
  • Strong work ethic with ability to manage multiple priorities along with a strong desire to be an actively engaged team member
