Reporting to the Director, Sponsored Programs and Research (OSPAR), and a dotted reporting line to the Assistant Controller, the Grants Finance Specialist will be responsible for overseeing post-award grants management for Principal Investigators (PIs) within the Office of Sponsored Programs and Research (OSPAR). The Post-Award Grants Finance Specialist works closely with researchers and stakeholders across the University to ensure compliance with government and private funding agency policies, managing financial aspects such as grant purchase request review, account reconciliation, grant deposits, monitoring funding and expenditures, preventing overdrafts, and reviewing financial reports.

Responsibilities:
  • To ensure compliance with applicable guidelines and policies, the incumbent is responsible for reviewing Notices of Award upon receipt, communicating key terms and conditions to PIs, and providing accurate guidance to PIs on cost principles, throughout the life of the award.
  • Responsible for reviewing award set-up forms and budget modifications for consistency with applicable fringe and Indirect Cost rates, approved budgets, and available funding.
  • Responsible for monitoring all grant accounts, managing account reconciliations, reviewing financial reports, resolving financial problems, and preventing overdrafts.
  • Responsible for preparing allocations consistent with PI guidance and approved budgets for grant-funded personnel and for reconciling salary distributions.
  • Oversees tracking additional compensation from grants accounts, including Faculty summer salaries.
  • Oversees quarterly financial review process.
  • Serves as the primary liaison with the Finance office.

Financial Approvals:

  • Work in coordination with the finance office to review and approve purchasing card (P-card) monthly reconciliations for grant-related transactions.
  • Serves as Initial Reviewer of grant-related reimbursement requests.
  • Approves all grant-related additional compensations, salary distributions and cost transfers.
  • Reviews all grant related purchases and follows up with the PIs accordingly.
  • Follow-up with PIs regarding their spend timeline and ensuring expenditures are made on grants within the project and budget period.
  • Monitoring of the grant expenditure burn-rate and reporting these findings to the office of the Vice Provost for Research.

Other:

  • Sub-award monitoring of grant expenditures and reporting requirements.
  • Assist the finance office in training PIs and staff on purchasing acquisitions and hiring pay process.
  • Coordinate with the finance office and HR with the pay/stipend process in accordance with hiring students.
  • Will be the primary OSPAR representative during Workday implementation and will input all relevant data into the system.
  • Performs related duties and responsibilities as assigned.
Qualifications:
  • A Bachelors degree or equivalent and 3 years minimum of grant-related experience including managing grant finances, budgeting, and accounting experience. Masters and accounting preferred. CPA a plus.
  • Preferred experience in higher education or a non-profit organization.
  • Demonstrated capacity for independent, service-oriented work, well-developed critical thinking, verbal and written communication skills, and the ability to foster cooperative relationships with university and external personnel is required.
  • Advanced computer skills, including Microsoft Word and Excel and the ability to quickly master a range of administrative interfaces.
  • Willingness to engage and explore developing AI platforms.
  • Ability to direct, evaluate and communicate the work assigned to departments and senior administration.
  • Experience with Workday and Oracle platforms preferred.
  • Experience within an Institution of Higher Education or research related environment preferred.

New York Tech considers factors such as (but not limited to) scope and responsibilities of the position, candidate experience/expertise, education/training, key skills, geographic location, internal peer equity as well as market, organizational considerations and/or applicable collective bargaining agreement when extending an offer.

Minimum Salary: USD $70,000.00/Yr. Maximum Salary: USD $80,000.00/Yr.
