SUMMARY Reporting to the Senior Director of Development and collaborating closely with the CEO/Director, the Grants Manager at TMA drives a comprehensive strategy across departments to secure resources vital to advancing the museum's mission and strategic initiatives. This role is pivotal in developing and managing the museum's grants funding plan, ensuring alignment with organizational goals and operational processes. Key responsibilities include crafting persuasive grant applications, maintaining current grants, and devising a sustainable long-term grant strategy aimed at achieving the museum's revenue objectives. As a key member of the Development team, the Grants Manager leads efforts to research, identify, and pursue grants from various sources including corporations, foundations, and government entities. This involves not only generating new opportunities but also enhancing the competitiveness of grant proposals through meticulous project management and strategic alignment. The role also includes cultivating relationships with potential funders and nurturing existing partnerships to sustain funding streams critical to the museum's growth and sustainability.
KEY ACCOUNTABILITIES The Grants Manager performs the following essential duties. Other duties may be assigned as needed.
Grant Strategy and Management: - Create and execute a grants strategy and funding plan for the museum's programs, exhibitions, and operations, incorporating timelines and accountability measures to ensure successful implementation
- Maintain current knowledge of TMA impact areas, goals, and strategies, integrating this understanding into proposals, presentations, strategic planning, and meetings with funders, government representatives, and community leaders.
- Maintain a calendar of grant deadlines and ensure timely submission of proposals and reports.
- Work with the Information Technology Director to identify opportunities for automation and integration with the CRM system.
- Maintain a database of foundations and grant makers, ensuring accurate and timely entry of all grants, reporting requirements, proposals, and donor information. Coordinate data cleanup and merging of records with Development staff.
- Lead the development of organizational grants management policies, procedures, and processes, ensuring they meet departmental needs and involve all relevant parties.
Proposal Development: - Oversee all pre-award grants management activities, including proposal development, budget preparation, submissions, and correspondence.
- Research and identify new government and private funding prospects.
- Write, prepare, and submit compelling, tailored grant proposals and applications that align with each funder's specific requirements.
- Collaborate with program directors, curators, and educators to gather information and develop detailed project descriptions, budgets, and supporting materials.
- Responsible for all aspects of pre-award grants management including proposal development, budget preparation, submittals, and correspondence.
Relationship Management: - Cultivate prospects and build relationships with existing funders, while also developing community connections and pursuing opportunities for joint resource development.
- Serve as the primary point of contact for all grant-related communications.
- Coordinate site visits and meetings with funders as needed.
- Attend Development team meetings and collaborate closely with corporate and major gifts staff to pursue objectives and assist in developing proposals for prospective donors.
Reporting and Compliance: - Ensure compliance with all grant requirements and maintain accurate records of grant activities by keeping the grants calendar up to date with precise deadlines.
- Prepare and submit progress reports and final reports to funders in a timely manner.
- Monitor grant-funded projects to ensure adherence to budgets and project timelines.
- Serve as a liaison to Finance, providing updates on the progress of the strategic funding plan and grant development, and delivering progress reports to Finance staff.
- Assist with organizational audits, budgeting, and routine grant-related correspondence.
Team Leadership and Development: - Mentor and supervise development, grants staff or interns as needed.
- Provide training and guidance on best practices in grant writing and management, offering support and expertise in writing, project management, and development activities, including proposals and reports.
- Follows up with relevant staff to ensure thorough and competitive submissions that include needs assessments, objectives, agendas, marketing plans, outcome strategies, and any specific requirements identified by individual grantors.
RELATIONSHIPS The Grants Manager fosters and maintains strong, collaborative relationships with both internal and external stakeholders, including staff, grantors, board members, and volunteers. This role involves regular participation in Development events and close collaboration with leadership to cultivate a culture of philanthropy within the organization. Externally, the Grants Manager engages with foundations, community partners, and donors, ensuring that donor communications are consistent and that donors are not over-solicited. The successful candidate will play a key role in nurturing these relationships to support the organization's mission and fundraising goals.

- Education - Bachelor's degree is required; Master's degree is preferred.
- Experience - Minimum of 5-7 years of grant writing or equivalent experience and/or training, preferably within the non-profit sector. Must have a demonstrated track record of securing substantial grant funding from foundations, government agencies, and other institutional sources. Leadership certification is preferred.
- Language Skills - Ability to read, interpret, and communicate information clearly and concisely in useful formats. Exceptional skills in writing, editing, and proofreading, with keen attention to detail. Capable of effectively presenting information and responding to inquiries. Foreign language proficiency is advantageous.
- Mathematical Skills - Requires intermediate mathematical skills and abilities. Ability to compile, analyze and interpret statistical information.
- Reasoning Skills - Proactive problem solving and analytical ability. Identifies the source of existing problems and resolves them within context of organization policies and procedures.

- Technical - Intermediate knowledge and proven adaptability to changing computer technology and software programs. Advanced knowledge of Microsoft Office Suite and philanthropy/grant management software or databases. Experience with Google Office Suite and Blackbaud Altru preferred.
- Other Skills and Abilities - Ability to thrive in a dynamic organizational environment, with excellent organizational, time management, and prioritization skills. Capable of coordinating multiple participants and monitoring progress against goals, while excelling in multitasking, working under pressure, and meeting deadlines. Proficient in project management, adept at managing multiple priorities and deadlines effectively.
WORK ENVIRONMENT Standard open concept office work environment shared with staff, with related phone, computer, and printer noise. Position requires the ability to leverage technology including search databases, smart boards, computer, printer, and phone systems; the person in this position frequently communicates with grantors, public, members, and staff who have inquiries and must be able to exchange accurate information in these situations; the person in this position periodically attends events inside and outside of TMA, with infrequent evenings, weekends, or overnight travel.
