Job Description
The Grants Specialist executes review, due diligence, documentation, and communication activities for Olympus' Grants program in the Americas, with a specific focus on the Latin America region. The Grants Specialist delivers outstanding customer service and upholds the compliance standards of the program.
Job Duties
* Screen and assess submissions, including those submitted in Spanish and Portuguese, in Olympus' Grants Management System in a timely fashion in accordance with departmental processes. Engage in follow-up communications to request clarification to remedy deficiencies or educate regarding program criteria as necessary
* Perform timely due diligence on requesting organizations and individual requestors
* Perform tasks to document and deliver Olympus' commitments on approved grant requests, such as informing recipients, drafting and exchanging letters of agreement, requesting payments, etc.
* Collaborate with Equipment Operations and Latin American colleagues to troubleshoot and take necessary action on highly time-sensitive fulfillment issues for product awards
* Communicate with requestors to receive, evaluate, and maintain necessary documents associated with post-program reconciliation. Ensure adherence to aggregate spend tracking requirements, federal disclosure requirements, and life science industry best practices
* Engage in frequent written and oral communications with key stakeholders to educate regarding important issues, deadline-sensitive information, and important priorities with respect to grants support
* Perform administrative and data-related tasks as needed to prepare for departmental and Grants Committee meetings, build reports, support audits, respond to information inquiries, etc.
* Support department personnel with internal and external projects and complete other related duties as assigned
* Proactively manage shifting priorities to ensure tasks are completed to applicable standards and within expected timeframes
Job Qualifications
Required:
* Bachelor's degree in business, marketing, education, communications, public administration, health care administration, or related field; equivalent knowledge and experience will be considered
* Minimum of three (3) years of experience performing or supporting corporate or nonprofit projects or business process; five (5) years of relevant experience preferred
* Ability to travel domestically and internationally up to 10 days per year
Preferred:
* Strong organizational skills, awareness of deadlines, and attention to detail
* Fluency in Spanish and/or Portuguese. Additional foreign language skills a plus
* Strong computer skills with proficiency with Microsoft applications
* Ability to work independently with minimal supervision
* Strong process-management skills with ability to multi-task and make strategic policy-based determinations
* Excellent professional communication skills, customer service, and etiquette
* Understanding of fraud and abuse, anti-kickback, transparency reporting requirements, and other rules and regulations applicable to medical device companies
* Ability to adjust proactively to shifting priorities
