GROUP ROOMS COORDINATOR

JOB SUMMARY:

The Group Rooms Coordinator is responsible for processing group reservation information including rooming lists, billing requirements, and managing inventory.

ESSENTIAL JOB RESPONSIBILITIES

  • Process and handle group rooming lists, reservations, and associate reservations requests by inputting data into the reservations system
  • Pre-block team, group, and VIP rooms
  • Ensure specialty rooms & VIPs are blocked appropriately
  • Act as the primary resource for the operational and administrative functions for group block management
  • Coordinate group registrations as needed
  • Assists guests and clients with small changes requests etc.
  • Create and manage inventory for all group blocks in communications with Sales/Events departments
  • Be the lead driver for content for group resumes including VIP information, arrival/departure times for groups, billing method, etc
  • Review all group resumes with appropriate departments
  • Audit all groups before arrival to review dates, rates, times, payment information, etc are correct and as requested
  • Make room package reservations to include room and food and beverage reservations
  • Clearly communicate group information from Sales to Front office associates and ensure everything flows smoothly from the time of booking through check out
  • Respond to internal and external requests in a timely, friendly and efficient manner

REQUIRED QUALIFICATIONS

  • Bachelors degree preferred
  • Proficient with Microsoft operating Systems OnQ and Sales Pro Enterprise
  • Proficient in Opera Cloud preferred
  • Must be able to convey information and ideas clearly
  • Must be able to evaluate and select among alternative courses of action quickly and accurately.
  • Must be able to problem solve and analyze data
